Posting Number NONAC3428 Job Title Administrative Assistant III Position Title Administrative Assistant III Position Type Non-Faculty Number of vacancies 1 Salary Commensurate with experience Department Dean's Office Position Summary Join our team as an Administrative Assistant and Receptionist, where you will be the welcoming face of the Dean’s office, providing essential administrative support to the Chief of Staff for the Dean while maintaining a well-organized and inviting reception area. Reporting directly to the Chief of Staff, you will play a crucial role in ensuring the smooth operation of the office.
Minimum Qualifications Associate’s Degree from a regionally accredited college or university Minimum of three (3) years of related experience. Must be proficient in Microsoft Office Suite. Ability to communicate effectively orally and in writing. Must be able to type 45 WPM.
Preferred Qualifications Bachelor’s Degree preferred from a regionally accredited college or university Experience working in an academic and clinical setting with matrixed reporting relationships is also preferred.

Job Duties Description of Job Duty Administrative Support:
Assist the Chief of Staff with various administrative tasks, including scheduling meetings, managing calendars, booking travel arrangements, and handling expense submissions.
Provide support for special projects as needed, demonstrating flexibility and a willingness to take on diverse tasks.
Receptionist Duties:
Serve as the receptionist for the Dean’s Suite, welcoming and assisting visitors, answering phone calls, and ensuring a professional and friendly atmosphere.
Maintain the reception area, ensuring it is well-organized, clean, and presentable at all times.
Office Management:
Take responsibility for the overall tidiness and organization of the office space, including common areas, storerooms and workspaces.
Collaborate with colleagues to ensure a clean and orderly office environment that fosters productivity and efficiency.
Package Handling:
Receive and distribute packages and mail for the Dean’s office, ensuring timely and accurate delivery to the appropriate recipients.
Event Coordination:
Assist in the planning and coordination of special events and activities as required, contributing to the success of various departmental initiatives.
Administrative Tasks:
Perform word processing, desktop publishing, graphics work, and data entry as needed to support office operations.
Prepare requisitions, check requests, blanket purchase orders, and other financial documents, ensuring accuracy and compliance with established procedures.
Supply Management:
Generate purchase and order lists for office supplies and equipment and liaise with local vendors to procure necessary items to meet departmental needs efficiently.
