Job Description:
This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.

Responsibilities:

Communicates with executives and line management to gather and convey relevant informationAnswers manager's phone line, documenting accurate messages, and handling calls with appropriate judgmentProactively manages the calendar of multiple executives proactively, effectively resolving conflicts that arise in a professional mannerArranges and handles details related to travel arrangements, expense reports, meetings, and appointmentsPrepares meeting minutes and related meeting documents, utilizing written and oral communication skillsPrepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers to answer questions, research, and resolve problems

Required Skills:

Minimum 2+ years administrationStrong Word, Excel, PowerPoint & Outlook skillsAbility to Multi-Task, self-starter requires minimum supervisionAbility to proactively look for potential conflicts or issues and resolveStrong attention to detailAbility to prioritize and work well under pressureAbility to obtain information in a timely and efficient mannerEffective comprehension, listening, verbal and written communication skillsAbility to navigate in a constantly changing environment and under tight deadlines with high level of accuracyStrong relationship skills and ability to work with a variety of constituent groupsAbility to interface with Senior ExecutivesCalendar management
