Our location in **Westford, MA,** currently has an opportunity for an **Administrative Assistant III.** **THIS POSITION IS AN ONSITE DAILY REQUIRED ROLE.** **The Opportunity** This position works out of our Westford, MA location in the Abbott Vascular Division. Abbott Vascular provides innovative, minimally invasive, and cost-effective products for the treatment of vascular disease. **What You’ll Work On** • Assists both Directors with meeting arrangements, calendar management, travel arrangements, expense reimbursement, invoice processing and other administrative tasks as required. • Assists both Directors with administrative support for meetings, projects, including agenda preparation, minutes, PowerPoint presentations and other support materials. • Works across both the Manufacturing and Quality teams to provide administrative support/ project coordination to their direct reports as requested. • Purchase Order initiation and Invoice Processing • Support all regulatory audits with catering, room setup, etc. • Assist in coordinating and/or supporting all site related employee activities and events including catering, room setup, and other necessary logistics. • Provide general office support which may include, but are not limited to; mail distribution, answering telephones, filing, catering, ordering supplies, etc. • Assist all other site employees on an as needed basis. • Develop and format presentation materials. • Prepare and update reports as required. • Prepare and update memoranda, correspondence and reports as needed for Directors. • Assess organizational, communication and reporting needs to ensure optimum performance within the department. • Lead special projects as assigned. • Support all Company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements. • Complies with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments. Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors. • Performs other related duties and responsibilities, on occasion, as assigned. Equipment: Works with standard office equipment such as telephone, cellular phone, fax/copier, and a personal computer with standard office software. Working Conditions: Work environment varies from well lighted office/cubicle, low to moderate noise level, to a variety of conditions caused by travel requirements such as customer offices, research labs, hospitals, hotels, use of automobiles, commercial travel, weather, etc. Physical Demands: Activities require a significant amount of sitting in front of a computer monitor, some standing and walking. Significant use of hands and arms, plus finger dexterity to reach, point, write, type, operate a computer and other office equipment. Performs tasks that regularly require good correctable vision and hand/eye coordination. Activities also require significant use of voice and hearing for discussions with other employees. **Required Qualifications** **Minimum Education** High School diploma or equivalent.
