+ Experience in an administrative assistant position
+ Experience monitoring budgets
+ Proficient in Microsoft Office 365 to include Word, Excel, Outlook, Teams, and SharePoint
+ Proficient with technology for online meetings
+ Experience communicating professionally in speech and writing with internal and external contacts
Preferred Qualifications
+ Two or more years experience in an administrative assistant or office manager position
+ Exceptional organization and data management skills
+ Experience in a university or school environment
+ Experience with TXST processes to include travel, PCRs, and purchase requisitions
+ Knowledge of Adobe Sign, Adobe Acrobat, and/or other Adobe products and utilizing Texas State systems including but not limited to, Banner, CourseLeaf, Logi, Degree Works, and SSB

The Administrative Assistant Ill position in theDepartment of Health Informatics & Information Management (https://www.health.txst.edu/him.html) serves as the functional office manager and provides direct, high-level, administrative support to the Department Chair, faculty, and students while also working closely with the Dean’s Office.
Job Duties
Provide advanced administrative support and perform a variety of work activities including:
+ Organize, manage, analyze, and report electronic and paper-based data about students, staff, and faculty
+ Exercise advanced attention to detail
+ Supervise, execute, and delegate complex work tasks to meet assigned deadlines while balancing multiple priorities.
+ Prioritize, understand, and ability to follow verbal and written instructions
+ Create, review, and process purchase orders and invoices
+ Create and process travel application requests and reimbursements
+ Monitor department accounts and reconcile expenditures
+ Monitor transactions of the operating budget for the department to ensure compliance with university policies
+ Process degree audits and provide student registration support
+ Monitor due dates for assignments and projects
+ Interact professionally with the Dean’s Office and other high-level offices across the university
+ Plan and assist with various department activities and events
+ Answer telephones, screen, and transfer calls, and take accurate messages
+ Compose, type, and proofread correspondence and forms
+ Organize and prioritize work for office staff
+ Supervise office staff and student workers
+ Serve as department leave-keeper, monitoring faculty, staff, and student time entries
+ Process paperwork for faculty, staff, and student employee hires
+ Monitor, order, and organize office supplies and equipment
+ Maintain organization of paper and electronic files per records retention policy
+ Perform website content maintenance and update social media
+ Support marketing and program development initiatives
+ Perform other duties as assigned
