Administrative Assistant Iii

Compensation: Starting at $21.55 per hour

Position Summary

Perform a variety of routine and complex clerical, administrative and secretarial work in support of the Department/Office; may serve as receptionist and interact with public to provide customer service. Provides efficient and smooth customer service according to the standards required by Isleta Casino and Resort.

Performs all essential functions of the Administrative Assistant II. Under minimal supervision, performs highly complex clerical, administrative and secretarial duties to assist senior and professional members of Department or Office. Assists customers and/or employees with difficult and/or complex transactions when applicable. Assists customers with regulatory compliance issues. Conducts complex research and processes complex documents in specialty areas. Composes correspondence, reports, memoranda and other materials requiring independent judgment as to content, accuracy and completeness. Interacts with other Offices/Departments and outside individuals and/or organizations to obtain and provide complex information. Cross-trains in all specialty areas; backs up other staff members as needed. Assists in training new and /or temporary staff in office policies, procedures and processes. May coordinate Department special events. May assist in registering employees and providing travel arrangements for training classes. May assist in ordering office supplies and maintaining office equipment. Maintains open communication among all departments and keeps Management informed of all activities, issues, and special events. May process employee payroll and enter PTO requests. Schedules meetings and prepares meeting materials. Maintains department supplies and inventories. Ensures the Director/Manager are advised promptly of outstanding, unresolved issues and kept current on solutions used in resolving issues. Compiles and transcribes statistical reports. Promotes and ensures an open and welcoming atmosphere that promotes skill enhancement. Greets internal and external guests, maintains a friendly and inviting atmosphere, and promotes positive guest relations through prompt, courteous, and efficient service. Gives basic instruction and information on all promotions and special events, as requested. Performs other duties of a similar or related level as necessary or assigned. Must provide any and/or additional support to other department functions within the division.

Accountability and Supervision:

Access to Sensitive Areas and Information Confidential Personnel Files. Payroll Information. Wage and Salary Ranges Acts as back up for Supervisor /Manager as needed.

Education and Experience

Associate Degree preferred. Minimum Education: High school diploma or equivalent. Satisfactory completion of all relevant required courses in specialty area. Minimum Experience: 3 years administrative, secretarial or reception experience in related field preferred. Highly proficient in all Microsoft Office applications and other relevant computer software applications.

Special Requirements, Licenses, and Certification

Must be able to acquire and maintain Gaming License issued through POIGRA. Must be able to successfully pass a pre-employment drug test and background investigation. Must be flexible with work schedule. Must be willing to work any days/hours as needed or required to meet business needs. Must maintain all property-wide educational and certification requirements.

Knowledge, Skills, and Abilities

Relevant Federal, state and local laws, rules, regulations, codes and/or statutes. Knowledge of office management systems and procedures Practices and procedures specific to the Department/Office. Modern office processes and procedures. Excellent written and verbal communication skills Must possess strong organizational and time management skills while paying close attention to details such as spelling, numbers, and grammar. Must be able to perform basic mathematics to include, but is not limited to, adding, subtracting, multiplying, and dividing in all units of measure, using whole numbers, common fractions, and decimals. Must possess a strong commitment to the organizational goals and objectives while showing the utmost discretion and loyalty to the organization when dealing with confidential information and data Bookkeeping principles and practices where applicable. Relevant computer hardware and software applications.

Ability to:

Speak, read and write the English language. Communicate effectively verbally and in writing. Understand and follow written and verbal instructions. Proficient in all Microsoft Office software. Strong organizational skills with the ability to multi-task Effectively and efficiently provide customer service to the public.

Physical Demands and Work Environment

While performing the essential functions of this job the employee is frequently required to reach, grasp, finger, stand and/or sit for long periods of time, walk, talk and hear; is occasionally required to lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, peripheral vision, and ability to adjust focus. Occasionally may have to deal with angry or hostile individual.
