Read, interpret, understand, explain, and apply technical information, task-related documentation, laws, rules, policies, and procedures. Prepare clear, concise, and grammatically correct documentation. Supervise and provide guidance to others. Use a personal computer and Microsoft Office Suite, as well as other applicable software. Perform basic to intermediate mathematical calculations. Preferred Qualifications Job Description The Administrative Assistant III provides administrative and clerical support within the Division of Marketing and Communications at Texas State University. This role supports the division by managing budgets, revenue-generating activities, and operational processes to enhance the effectiveness and efficiency of marketing, promotion, and communication efforts across the university. Job Duties + Manage the departmental calendars and schedules as needed. + Organize, prioritize, direct, and explain office work assignments to office staff and student interns as needed. + Maintain and review staff and personnel files for completeness. + Arrange travel, applications, and reimbursements for all staff. + Review and process purchase orders and invoices in accordance with departmental procedures. + Prepare and manage spreadsheets and tabulate information. + Compose, format, and proofread a range of documents including correspondence and reports. + Assist in the preparation of various activities and events. + Oversee and manage incoming telephone calls, including screening, transferring, and taking messages. + Greet, screen, and route office visitors. + Monitor the inventory of office supplies and order new and replacement supplies as needed. + Maintain divisional email inboxes, ensuring timely responses and appropriate follow-up. + Perform HR-related duties for student interns, including timekeeping and scheduling. + Facilitate the onboarding and offboarding of staff and student interns as needed. + Maintain the Bobcat Digital Signage system. + Coordinate golf cart training for staff and student interns as needed. + Develop, implement, and continuously improve business processes to enhance efficiency and effectiveness within the division. + Assist in facilitating cross-training initiatives among the administrative team to ensure seamless operations, knowledge sharing, and workload balance. + Provide insight on process improvements and contribute to the development of best practices. + Make recommendations for solutions that enhance workflow and optimize administrative support.
