ADMINISTRATIVE ASSISTANT III

CSC PRESCRIBED QUALIFICATION STANDARDS
Education         : Completion of two (2) years studies in college
Training            : 4 hours of relevant training
Experience       : 1 year of relevant experience
Eligibility           : Career Service Sub-Professional/1st level eligibility
PREFFERED QUALIFICATIONS
Education         : Bachelor’s Degree preferably in Communication/Social Studies/Business
 Administration and other related courses
Training            : 8 hours of relevant training
Experience       : 2 year of relevant experience
JOB SUMMARY
The Administrative Assistant III shall perform clerical functions in the Procurement Unit. He/she is expected to assist the Procurement Officer in the implementation of all procurement activities of JJWC to include BAC Secretariat.Â
In particular, the AA III is expected to assist in the preparation of procurement documents such as Evaluation Forms, Abstract of Quotation, BAC Resolution, Purchase Order, etc. Advertise and post procurement activities as may be assigned by the BAC / BAC Secretariat, gather and complete all supporting documents required for the processing of payment of suppliers, consultants and contractors after delivery of procured services.
PRIMARY TASKS:
1.    Prepare procurement documents such as Evaluation Forms, Abstract of Quotation, BAC Resolution, Purchase Order, etc.;
2.    Advertise and post procurement activities on PhilGEPS, within JJWC premises or official website as may be assigned by the BAC / BAC Secretariat;
3.    Acts as primary or alternate Unit Document Control Officer (UDCO) of the Procurement Unit to track on-going and outgoing documents of the unit in Document Tracking System (DTS);
4.    Assists in the preparation of procurement plans;
5.    Follow up on required documents from the end users;
6.    Initial review of attachments/ supporting documents
7.    Maintain records of all incoming and outgoing requests to and from the Procurement Unit
8.    Canvass and send out Request for Quotations/ Notices of Procurement to suppliers
9.  Process Payment of suppliers, consultants and contractors after delivery of procured services
10. Process purchase request from end-user
11. Maintain a registry of all procured goods, supplies and equipment
12. Monitor completeness of supporting documents for processing of payment of suppliers, consultants and contractors after delivery of procured services
13. Maintain directory of suppliers, hotels
14. Perform other tasks as may be assigned by AO IV and CAO.
