HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant III, your day-to-day responsibilities will include:
The resource will be required to exhibit a high level of autonomy, discretion, and initiative
The front office, although small, is a dynamic, team-oriented work environment in which many of the activities are short notice with high priority
The resource must be able to act immediately and respond independently
The office interacts across the sponsor organization including with leadership staff
The resource will be expected to show professionalism as well as excellent verbal and written communication skills in preparing emails, documents, and spreadsheets
The resource will maintain scheduling, meeting support, on-boarding/off-boarding personnel, document preparation, consolidation of Information into spreadsheets, ordering supplies, and serving as an office liaison with other senior staff support
The resource will not be expected to travel between buildings or to transport passenger or other items
The resource will directly and independently supports two managers
The second office the resource will be supporting requires basic calendar-keeping, familiarity with electronic file management systems, and ordering office supplies
The office routinely corresponds with the top 35 sponsor leaders and their staff
The resource would be expected to work 5 hours per week to support this office
The third office requires periodic surge support in the run-up of major events
The resource would be expected to maintain basic calendar-keeping for staff and significant interaction with scheduling staff of members of the board
The work may occasionally require later hours than normal and, on rare occasions, some weekend work
The position requires the highest possible decorum and discretion in managing schedules related to top sponsor leaders and prominent outside visitors
Excellent communication skills, particularly by phone and email, are essential. Expected hours for Iha office may be about 5 per week
The resource will be responsible for managing 3 manager's calendars and has discretion to add/drop/reschedule meetings according to management priorities and provide schedule cards daily
The resource will have access to and will be expected to monitor manager's calendars for administrative issues and alert management in a timely fashion
Support for the second office may require significant interaction with scheduling staff or members of the board
The work tempo may occasionally require later hours than normal and, on rare occasions, some weekend work
The resource will be expected to exhibit the highest possible decorum and discretion in managing schedules related to top Sponsor leaders and prominent outside visitors
On an as-needed basis, may attend meetings and take meeting minutes to distribute post meeting
The candidate will actively assist with the consolidation of inputs and creation of binders to support senior leadership; these include printing documents or spreadsheets end consolidating inputs into logical briefing binders for management; other basic electronic records management activities may be required such as saving documents to share drive locations and locating documents or regulations within the sponsor's internal system
The resource may be required to schedule and reserve conference rooms and assist in preparation of meeting such as printing materials or finalizing PowerPoint presentations
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active TS/SCI with Polygraph security clearance
HS Diploma and three (3) years of relevant experience or equivalent combination of education and experience
The resource will be expected to work about 24 hours between the 3 offices; arrival/departure time is flexible and will be specified upon agreement
Candidate must be able to operate in a team environment as well as successfully work on their own
This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.Scheduled Weekly Hours:
