Administrative Assistant IV, Economics
Reporting to the Chair of the Economics Department, the Administrative Assistant IV provides administrative support to the chair, faculty and students. Responsibilities Include: + Assist with the preparation of reports and proposals; write correspondence and memorandums; create flyers, brochures, and newsletters. + Provide support for faculty searches, tenure, reviews, reappointment and promotion cases and special projects as needed. + Maintain confidential files for faculty, students, including transfer credit approvals and departmental correspondence. + Manage and monitor department budgets; faculty research funds; process reimbursements, expense reports, and other financial transactions. + Maintain databases and generate reports and mailing lists; maintain calendars and organize meetings; manage office correspondence and procedures; greet and work with students, faculty, visitors and other constituencies. + Coordinate logistics for speakers, colloquia, receptions, and other department events, to include scheduling, publicity, room reservations, travel and catering arrangements, and related activities. + Assist in compiling course offerings for department/program using CourseLeaf; liaison with departmental staff to manage cross-listings; edit material for course catalog and university publications. + Provide students with information regarding the major. + Update and maintain the department website. + Post student job descriptions in Handshake, hire, train, supervise, record and process payroll for student workers. + Assist with the oversight and training of student workers. + Order office supplies. + Submit work orders and key requests as needed + Perform other duties as assigned. This position is in the secretarial/clerical union and works 35hrs per week for 52 weeks per year. Th is is an on-campus position. . Minimum Qualifications + Associate Degree or six years related experience or an equivalent combination of education, training, and experience . + Demonstrated ability to set priorities, take initiative, and manage multiple duties with minimal supervision. + Strong attention to detail. + Demonstrated expertise in Word, Excel, and email applications. + Previous experience with webpage and database management applications. + Ability to work effectively with students, faculty, staff, and visitors. Preferred Qualifications: + Experience in an academic environment. + Previous budget management experience. Position is open until filled.
