As a member of the Lab’s administrative service center team, provide independent, high-level, confidential program, administrative and customer service support for the Lab. This position currently provides support to the Lab of Ornithology’s Innovation and Integrated Technology Office

The position, which reports to the Lab’s Senior Technology Officer, will provide administrative support for the Lab of Ornithology’s Innovation and Integrated Technology Office. This position (a)serves as primary contact for all administrative functions for assigned support area, (b) assists leadership on all center-related administrative tasks, (c) supports center finance specialists to ensure the smooth and timely processing of all financial submissions, (d) provides administrative backup for other centers at the Lab, (e) makes complex national and international travel arrangements for the Senior Technology Officer and visiting guests, (f) manages the Senior Technology Director’s schedule and calendar needs, (g) Track progress on IT related staffing plan items in collaboration with HR.(h) track and monitor software licenses and (i) plans, coordinates, and supports special meetings, events, visitors, retreats and workshops. The incumbent will act as liaison to both internal and external colleagues including staff, alumni, Lab members, research partners, commercial and governmental personnel. Attend and document meetings as requested by Center leadership and convey/relay information as appropriate. Assist with the administrative preparation and distribution of scientific papers, technical reports, and publications.
The position frequently acts as the liaison between centers and campus, local, national, and international collaborators, visitors, funding agencies, and customers.
This is a full-time, 39 hours a week position located at the Cornell Lab of Ornithology. This position will have opportunities for hybrid work flexibility with the typical expectation to be in the office 3-5 days per week depending on the Senior Technology Officer’s schedule.
What We Need
Required Qualifications:
Associate’s degree and two (2) to four (4) years relevant experience or equivalent combination of education and experience.Experience proofreading and editing correspondences documents which requires attention to detail.Proficient in the use of standard office software such as Microsoft Office, Excel and other Microsoft products like Outlook etc.Experienced in managing and maintaining professional social media accounts, including LinkedIn, YouTube, and other relevant platforms. Skilled in using tools to schedule posts, monitor activity, and engage with audiences.Must be able to work evenings and weekends occasionally.Demonstrate a proven track record of successfully managing multiple projects and priorities simultaneously.Prior experience drafting and processing contracts and licensing agreements.Must be flexible and adaptable and able to change direction/tasks quickly as priorities change.Demonstrate a history of reliability and the ability to maintain confidentiality. Willingness to learn new skills and participate in relevant training courses.Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members. Must be able to manage all issues with a high degree of judgment, tact, and diplomacy while fostering excellent working relationships with collaborators.Must be able to foster and maintain excellent working relationships with coworkers, collaborators, students, visitors, and customers from very diverse cultural and educational backgrounds. This requires approaching all matters with an open mind, sense of curiosity, service-minded attitude, tact, and diplomacy.Experience that demonstrates sound judgment, creativity, time management, and problem-solving skills.Must be able to work well and communicate respectfully with people from very diverse backgrounds.Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.If you have all those things, great! Preferred Qualifications:
Bachelor’s degree with five (5) or more year’s related experience providing support for a Technology Office preferred.Prior experience with event planning and coordination is extremely helpful.Background working in an academic research organization helpful.Knowledge of Cornell’s accounting and administrative systems and policies helpful.Experience in WordPress, Concur and Photoshop helpful.
