Administrative Assistant IV

Job Summary:  

               

In this role, Administrative Assistant will provide full administrative support to the Global Innovation Manager, assisting with the growth and delivery of key business projects. This position will also work closely with the Global Sales Director and UK and US Sales Directors to maintain data quality, reporting, dashboards and housekeeping within Salesforce CRM system. The core part of this role is driving forward projects within XpertHR and actioning the administrative elements of it.

This role will report to the Global Sales Director.

Accountabilities:

Provide efficient and timely project coordination support for the Global Sales Innovation Manager, updating and problem solving where necessaryHelping organize the global kick offsHelping organize diaries / expenses of the sales directorsThe successful candidate will be responsible for Project co-ordination and administration across multiple projects and will be pivotal in maintaining overall project & processes.Providing administrative support on multiple projects, surveys and maintaining project and end user documentation in alignment to the project.Support meetings, boards and committees with detailed minute taking and production of formal minutes and meeting notesWorking within Salesforce to generate reports and dashboards as needed for the sales leadersResponsible for planning and organizing events & functions when requiredGeneral administrative duties not noted here

 

 

Qualifications: 

Essentials

Bachelor’s degree holderProven experience in the followingSalesforce experience – ability to create reports & dashboardsExperience of managing/coordinating projectsExcellent organizational and multi-tasking abilityOutstanding communication and stakeholder management skills, in a matrix environmentStrong attention to detail and high standards of workTeam player who is a fast learner

Desirable

Working knowledge of databases and Learning Management Systems (LMS) is a plusSome knowledge of project management methodsGood knowledge of excel – ideally familiar with V-lookups & Pivot tablesExperience in a sales environmentMaterials and ResourcesTechnical creation, collation and editing of curriculum content/media as requestedPrepare and disseminate material (e.g. content, instructions, follow up etc.)Building/maintaining an online training library of resources as requestedReporting - Create/collate/submit reports on learner tasks, training activities and resultsLearner Support (Gamified & Certified)Technical point-of-contact for delegatesTechnical liaison between suppliers and XHR as requestedTechnical creation of assignments and micro-learning content as requestedAdministering and communicating delegate follow up, e.g. repeating assignmentsCollating data on results and updating appropriate PLI documents as requestedLearning Review Events - organize quarterly Academy Showcase sessions including:Collation of good news stories and testimonialsCollating use-case studiesUpdating the Wall Of WinsFinding speakers (from short-list)Distribution of incentive winningsGeneral SupportKey project management and delivery as requested o New Business Leadership Team as requestedCustomer Growth Leadership Team as requestedSales Support Materials including Sales Playbooks as requestedMust be in current role for 1 yearMust not have any pending/active disciplinary action for the past 12 months, no attendance and performance issuesMust have a successful or above rating in the last performance review
