Administrative Assistant - LVCHO

Salary Range: $19.51 - $26.90

Position Summary

The Administrative Assistant provides essential support to ensure the smooth operation of day-to-day activities across the organization. This role supports internal coordination, office functionality, and event logistics. The position helps the team stay organized, responsive, and focused on community impact.

This position reports to the Lompoc Valley Community Healthcare Organization (LVCHO) Executive Director. Position includes contact with persons at all levels within the organization and the community. Must be able to multi-task.

District Responsibility:

Supports the Lompoc Valley Community Healthcare Organization and Lompoc Valley Medical Center’s Policies. Supports the LVCHO’s and Hospital District’s Mission, Vision, and Values Statements. Demonstrate Respect, Professionalism and Courtesy to all patients, visitors, other providers and coworkers, as delineated in the LVMC “Commitment to Care”. Key Responsibilities

Maintain organized digital and physical filing systems in accordance with LVCHO policies. Monitor inventory and coordinate the purchase of office supplies and materials; liaise with vendors. Develop solutions for improved performance, organization and expansion and/or cost savings of LVCHO office operations Ensure a clean organized and professional office environment Process incoming and outgoing mail in a timely manner Provide logistical support to the Executive Director as needed Manage day-to-day office functions, including collecting and sorting mail, handling deliveries, and managing general correspondence. Perform accurate and timely data entry. Prepare and organize materials for meetings, community events, and outreach activities. Assist with managing calendars, internal planning tools, and project timelines. Help to coordinate and implement staff and board activities. Track RSVPs, manage contact lists, and create or manage forms. Provide occasional on-site event support, including evenings or weekends as needed. Assist in compiling financial and statistical data and reports as assigned. Prepare and mail checks; maintain accurate records. Perform other related duties as assigned.

Position Qualifications

Education: High school diploma or equivalent required; some college coursework or an associate’s degree is preferred. Experience: 1–2 years of office, nonprofit, or administrative support experience. Certifications: None required. Skills: Proficient in Microsoft Office and Google Workspace (Docs, Sheets, Drive). Familiarity with Canva, SurveyMonkey, or basic social media tools is a plus.
