Under general supervision of the MSO manger the Administrative Assistant shall assist with the day to-day operations of the MSO by doing tasks such as greeting Medical Staff and hospital visitors, answering phones, electronically filling paperwork, and composing documents on behalf of MSO.
ResponsibilitiesPrincipal Duties and Responsibilities (*Essential Functions)
Manages calendars and coordinates meetings for committees Attends, takes and transcribes meetings minutes, provides follow-up and disseminates the information appropriately. Must be able to work a few night meetings a year. Coordination of the Credentialing Process – preparation of medical staff applications, appointments, reappointments, ongoing peer review, committee participation, CME transcripts, activity/case logs or affiliation requestsComposes and types routine correspondence, sends memos, and other announcementsAssist with confidential peer review related materials with the utmost confidentialityCoordinates and performs data collection as necessary for department operationsResearches and prepares standardized reports using department dataSubmits expense reports, purchase orders and check requestsCreates new or updates existing spreadsheets and databases that track, record or analyze dataCreates and maintains systems to support departmentMaintains appropriate level of office supplies for department placing orders as necessaryMust be able to interact with physicians, administration and other customers internal and external to the organization in a positive, effective, and diplomatic mannerThe core duties and responsibilities of an Administrative Assistant revolve around supporting othersPerforms other duties as needed and/or assigned.
