The Administrative Assistant, PST is responsible for
providing confidential administrative support services primarily to the
Commercial and Corporate Strategy and Project Management Office (PMO)
departments. This role may provide back-up support for confidential support in
other divisional departments such as Human Resources, Internal Communications,
or Events and Experience. This role ensures that all matters are handled in an
efficient, effective and confidential manner.
**What you do:**
+ Reviewand process correspondence while instituting effective and discreethandling of sensitive documentation.
+ Collect,compile, and distribute confidential performance data, and support thetracking of key corporate performance reports for management review anddecision-making.
+ Conductsupportive research; compose, proofread, and format correspondence,presentations, and spreadsheets. Organize agendas, speaking notes,notifications on behalf of directors.
+ Communicateand coordinate with department leadership's direct reports and staff, asdirected.
+ Facilitateon-boarding and off-boarding procedures for employees, including providingorientation and training on department and corporate processes.
+ Maintaindepartmental calendars, coordinating meetings, appointments, travel,training and other commitments
+ Proactivelybring forward calendar items for follow up and/or action, issue remindersand track progress on responsibilities
+ Coordinate andsafeguard sensitive information related to workforce planning, includingpersonnel files, staffing forecasts, and organizational structure changes.Ensure confidentiality and discretion in handling matters that impactlabour relations decisions.
+ Organizeand manage access permissions within the departments’ document and records management systems, ensuring safe sharing and distribution of confidentialdocuments both internally and externally.
+ Workclosely with Director to compile corporate strategy, including preparationand review of material for Executive andBoard retreats andExecutive and Board meetings.
+ Compile,maintain, and safeguard analysis and recommendations of sensitive andconfidential information. Regularly required to handle sensitive andconfidential information, the disclosure of which would directly impact thelabour relations between the VFPA and the Union.
+ Prepareand monitor departmental budgets, including the preparation ofsubmissions, contracts, purchase orders, and processing payments.Coordinate purchases using department credit cards and reconcilestatements.
+ Trackdepartment and project expenditures, code invoices for payment, and assistwith the preparation of annual and monthly department operating budgets,variance reports and year-end accruals. Follow-up on routine financialqueries
+ Organize,coordinate, or participate in strategic planning events and workshops,including the annual Executive and Leadership Team Retreats, People Leaderworkshops, and other annual planning engagements.
+ Coordinateproject and department-led training and capability building, includingscheduling, logistics, and related corporate processes.
**What you bring:**
+ High-schooldiploma and a post-secondary administrative certificate or related field.Minimum of
+ 1.5years of confidential administrative assistant experience in adetailed-oriented, fast-paced environment managing multiple priorities,preferably working at a corporate or board level.
+ Anequivalent combination of education and experience may be considered.
+ Mustbe proficient in MS Office Suite, including Word, Excel, PowerPoint,Sharepoint and Outlook. Experience in records management and familiaritywith accounting or project management software, such as JD Edwards, wouldbe considered an asset.
+ Mustbe a customer-oriented and self-motivated individual with excellentinterpersonal skills, including tact, diplomacy and the ability to liaiseeffectively and positively with all levels of contacts, internally andexternally.
+ Musthave an excellent command of the English language, both oral and written,with strong editing skills and attention to detail.
+ Abilityto exercise good judgment and be extremely discreet in the handling of theport authority’s confidential and sensitive matters.
+ Mustbe a team player with a "can-do" attitude.
+ Excellentorganizational skills, ability to multi-task, adapt to shiftingpriorities, work under pressure, and have a forward-looking grasp ondeadlines.
