Administrative Assistant / Receptionist

Job Description

The role of an Admin Assistant involves welcoming and assisting visitors at the main office. Answers multiple line phone system; answers questions; assists with accessing online applications; provides information materials; and/or directs visitor to appropriate staff members.

Essential Functions

The Admin Assistant is responsible for a variety of tasks to ensure smooth operations at the front desk. These include greeting visitors, maintaining confidentiality, handling documents, notarizing documents, providing information on low-cost housing, assisting with applications, managing telephone calls, maintaining a visitor log, processing mail, receiving rent payments, and ensuring the reception area is neat and professional.

Greeting Visitors: Welcomes and assists visitors at the main office.

Confidentiality: Maintains confidentiality of visitors and callers.

Document Handling: Scans, indexes, photocopies documents, and provides forms.

Notarization: Notarizes documents for business purposes.

Information Provision: Provides information on low-cost housing in the local area.

Application Assistance: Helps with paper and online applications for housing programs.

Telephone Management: Answers and directs calls on a multi-line system.

Visitor Log: Maintains visitor log and manages restroom keys.

Mail Processing: Handles incoming and outgoing mail and electronic faxes.

Rent Payments: Receives keys and rent payments for Affordable Housing.

Reception Area Maintenance: Ensures the reception area is neat and professional.

Secondary Functions

In addition to the primary responsibilities, the Customer Service Representative performs related duties as required to support the overall operations.

Additional Skills & Qualifications

high school diploma is required, with some higher education or vocational training preferred. The candidate should have at least one year of related experience and experience with a multi-line phone system. Demonstrated computer proficiency is also required.

Pay and Benefits

The pay range for this position is $21.50 - $21.50
