Job SummaryThe University of Michigan Procurement Services is seeking an Administrative Assistant Senior to join our Property Control team. In this role, you will be the first point of contact for department inquiries where you will collaborate with varying research departments to ensure all capital equipment is tagged and compliant with Property Control processes. You will work closely with Accounting Operations, Financial Operations, Flint and Dearborn campuses, and Property Disposition to track and manage any discrepancies that arise through the lifecycle of the capital equipment.
The successful candidate must have an understanding of inventory, be self-motivated, possess technical skills, independent problem-solving skills, excellent communication and follow-up skills, and a strong attention to detail.
Responsibilities*Responsible for coordinating schedules for efficient and timely tagging of capital assets.Coordinate with Departments on obtaining access to the assets within 30 days.Elevate issues for management to review when not able to accomplish deadlines.Update Asset Management System with applicable data and notes from Property Control Staff.Provide reports to Property Control staff and University departments.Assist in the development and maintaining of procedures, job aids, knowledge-based articles, and written communications.Assist in process improvement initiatives.Research and aid in solving discrepancies within Asset Management.Maintaining product identification and locations in asset management systems.Research asset discrepancies and recommend or make necessary changes.Coordinate and integrate efforts across departments to enhance asset accuracy.Scanning, uploading, and filling of paperwork.Coordinate meetings and training as necessary.Assist in biennial capital inventory processes.Answer customer inquiries via email, phone, and Team Dynamix (TDX).Assist with projects as necessary.Required Qualifications*Associates degree or 4 years of relative experience preferredDetail-oriented and highly organized, ability to function effectively in an active, engaging environmentPossess strong technical skills and the ability to use desktop software effectively including Microsoft Suite and Google SuiteDemonstrate interpersonal skills and the ability to build successful relationships with a wide variety of people at all levelsDesired Qualifications*Knowledge of U-M policies and proceduresKnowledge of Team Dynamix (TDX)Work ScheduleThis is a full-time position.
