Administrative Assistant Support

Position Summary

General responsibilities and accountability will be to support Admin Assistant Manager in the area of PA administration and Office Management in Hyatt Hub Japan.

Ensure smooth, pleasant and efficient running of the office under good working ethics. Close communication and collaboration with other management members of Hyatt Hub Japan is highly expected.

Main Duties

Personnel
•Support and demonstrate Hyatt Purpose – We care for people so they can be their best – at all time.
•Collaborate closely with other team members of Hyatt Hub Japan Offices in a positive and flexible manner, focusing on the overall success of the company, as well as all internal and external customers.
•Work in a supportive, friendly and flexible manner with all Hyatt hotels worldwide, in a spirit of Care.

Administration
•Monitor all incoming and outgoing e-mails, phone calls as well as correspondences related to general administration.
•Ensure that an efficient and accurate filing system, both manually as well as electronically, is maintained at all times.
•Assist Regional Vice Presidents daily administrative works such as meeting arrangement, various document creation, handling correspondences and booking restaurants on behalf of the RVPs.

General Affairs
•Support GA person to ensure smooth, pleasant and efficient running of the office under good working ethics.

Office Management
•Proactively improve and maintain the working environment at Hyatt Hub Japan.
•Be conversant with all services and facilities offered by the office.
•Understand and adhere to Rules and Regulations established in the Employee Handbook and the company’s policies concerning fire, hygiene and health and safety.
•Improve and maintain the measures to prevent / mitigate potential risk factors in the office environment e.g. fire drill, preparation of emergency kit, maintenance of an emergency call tree etc.

Other Duties
•Ensure high standard of personal presentation and grooming.
•Exercise responsible behavior at all times. Positively represent Hyatt Hotels Corporation and Hyatt Japan.
•Attend training sessions and meetings as and when required.
•Carry out any other reasonable duties and responsibilities as assigned.

One year contract (Renewable based upon performance)
Language: Native level in Japanese
