What Is the Role of an Executive Assistant to MD?Calendar Management: Effectively managing the Product Development Team’s schedule, including arranging appointments, meetings, and travel plans. This involves coordinating with internal and external stakeholders to ensure optimal use of the Product Development Team’s time.Communication Handling: Acting as a primary point of contact between the Product Development Team’s and internal/external parties. This includes screening and managing emails, calls, and other forms of communication, responding on behalf of the Product Development Team’s when necessary.Information Management: Handling confidential information with discretion and maintaining organized records. This may involve preparing reports, presentations, and documentation for the Product Development Team’s.Meeting Coordination: Planning and organizing meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are communicated and executed.Travel Arrangements: Coordinating domestic and international travel logistics for the Product Development Team’s, including transportation, accommodation, and itinerary planning.Project Support: Assisting the Product Development Team’s in various projects by conducting research, compiling data, and providing administrative support to ensure project milestones are met.Relationship Management: Building and maintaining positive relationships with key stakeholders, both internally and externally. This involves effective communication and representing the Product Development Team’s professionally.Problem Solving: Addressing day-to-day challenges and solving problems independently or by consulting with the Product Development Team’s when necessary.Event Planning: Organizing and coordinating company events, conferences, or other functions that involve the Product Development Team’s participation.Objectives of this roleSupport the India MD primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficientlyMaintain and refine internal processes that support high-ranking executives companywide, and coordinate internal and external resources to expedite workflowsManage communication with employees by liaising with internal and external executives on various projects and tasksPlan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheldRequired skills and qualifications4+ years of experience in an administrative role reporting directly to upper managementExcellent written and verbal communication skillsStrong time-management skills and an ability to organize and coordinate multiple concurrent projectsProficiency with office productivity tools and an aptitude for learning new software and systemsFlexible team player, willing to adapt to changes and unafraid of challengesAbility to maintain confidentiality of information related to the company and its employeesAbout Guidewire
