Administrative Assistant to the Equestrian Center

The position includes responsibilities as an administrative assistant which entails all aspects of managing accounts payables and receivables as it relates to the Bromeley-Daggett Equestrian Center at the Maris Cuneo Equine Park, maintaining all records of operation including contracts, liability forms, etc, arranging team transportation and lodging, maintaining the event calendar, scheduling recruit visits, managing student horse boarding feeds, contributing to the equestrian social media platforms, and other special projects. The incumbent must be able to enforce University policies, be attentive to detail, build teamwork and cohesiveness, and promote a welcoming environment.
Maintaining a high standard of health and safety of the equine facility is paramount. This includes the care of the horses and the safety and welfare of students and staff. While responsibilities are defined for staff, the care of the horses and equestrian facility is a collective effort of all who are employed at the Bromeley-Daggett Equestrian Center at the Maris Cuneo Equine Park. The administrative assistant may assist with the feeding, general horse care, and/or stall maintenance, as needed.
Salary/Rate:$16.00-$17.00, 35 hours per week
Essential Functions:
+ Route incoming calls and messages
+ Pick up and distribute mail
+ Schedule appointments for the program director, instructors, and trainers
+ Arrange team transportation and lodging
+ Complete team travel expense reports
+ Work with program director to supervise and maintain operating budgets for Equestrian Center
+ Reconcile One Card statements
+ Complete Unimarket transactions
+ Submit purchase orders, invoices, and check requests
+ Update program director on fund and account balances
+ Develop Profit and Loss statements for horse shows
+ Assist with the completion and submission of personnel change forms
+ Maintain the event calendar
+ Schedule recruit visit itineraries
+ Ensure accident incident reports are completed properly and submitted to the appropriate administrator(s)
+ Manage student horse boarding fees and integrate fees with student’s Banner account
+ Contribute news and updates for equestrian social medial platforms
+ Oversee tack and equine supplies in collaboration with the barn manager
+ Assist with the daily care of horses which may include feeding horses, turning the horses in and out, and stall maintenance
+ Light custodial duties
Other Duties & Responsibilities:
+ Must be a self-starter and able to work independently
+ The ability to maintain regular and prompt attendance is essential for the successful performance of this position
+ Sufficient fitness and strength to work in a physically active setting, that may be a high dust environment is required along with the agility and strength to handle ill, injured, or unruly horses
+ Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people’s lives
+ Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students
+ Maintains a commitment to diversity, equity and inclusion and a high degree of cultural competence and respect for a wide range of identities and experiences, therefore welcoming and supporting all faculty, staff and students and expanding access to the AU experience
+ Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment
+ Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols
+ Effective written and oral communication skills
+ Contributes to the overall success of the University by performing other duties as assigned
Environment:
+ The position requires the incumbent to work in a horse barn, in other out buildings, and in pastures
+ Personal protective equipment must be worn when required. A respiratory function test and the ability to use respirators may be required
+ Stairs and uneven surfaces may be present
+ The position requires the incumbent to walk outdoors in all types of weather
Qualifications:
+ High school graduate or GED required
+ Previous clerical, accounting, and office experience required with proven experience in Microsoft Office suite (i.e., Outlook, Word, Excel, PowerPoint)
+ Previous experience with Unimarket and Banner is preferred
+ Must be comfortable working in and around the equestrian facility with previous experience caring for horses as an asset to the position
+ Must be able to lift 50 pounds
+ Must have the agility and strength to handle ill, injured, or unruly horses
+ Must have a U.S. driver’s license
