Administrative Associate 3 – Office of Cancer Health Equity (Hybrid Position)
The Stanford Cancer Institute is seeking an Administrative Associate 3 to provide administrative or operational support with limited supervision. The Office of Cancer Health Equity is a part of the Stanford Cancer Institute (SCI), SCI houses the Office of Cancer Health Equity (OCHE). OCHE is responsible for carrying out community outreach and engagement efforts and activities on behalf of SCI through education, research integration and prevention.
The SCI, which is one of an elite number of National Cancer Institute-Designated Comprehensive Cancer Centers in the country, and is a prominent, dynamic, growing and complex Institute within the Stanford University School of Medicine. The Stanford Cancer Institute (SCI) was re-designated as a comprehensive cancer center by the NCI in early 2022, and is a prominent, dynamic, growing and complex Institute within the Stanford University School of Medicine. SCI houses the Office of Cancer Health Equity (OCHE). OCHE is responsible for carrying out community outreach and engagement efforts and activities on behalf of SCI through education, research integration and prevention.
We are seeking an Administrative Associate 3 who will play a mission critical role in providing high-level administrative support to the Associate Director of COE and OCHE Executive Director. Specific responsibilities include, but are not limited to: complex calendar management, engaging in multiple means of correspondence with collaborating partners, preparing documents and presentations, making travel arrangements, maintaining confidential records, scanning confidential documents, providing meeting summaries, and processing miscellaneous payments and invoices through Stanford’s Oracle Financial System. This position requires you to be highly organized, extremely detail oriented, and to exercise proactive communication to manage multiple tasks simultaneously. In addition, you will be expected to demonstrate strong business judgment, professional etiquette, and problem-solving skills. This is a hybrid position, but requires flexibility based on the operational needs of OCHE.
**Duties include*:**
+ Act on behalf of the supervisor, department manager, or chair in regard to establishing priorities and identifying and resolving problems that are administrative in nature.
+ Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
+ Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
+ Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
+ Create complex reports and spreadsheets which may utilize specialized software and systems.
+ Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
+ Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
+ May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing review input.

**DESIRED QUALIFICATIONS:**
Bachelor’s degree (or equivalent) preferred; at least 2 years of experience in support of senior level faculty or staff.
**EDUCATION & EXPERIENCE (REQUIRED):**
High school diploma and four years of administrative experience, or combination of education and relevant experience.

+ Rarely twist/bend/stoop/squat, kneel/crawl.

_The expected pay range for this position is $39.46 to $44.30 per hour._
