St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network and is the system’s second-largest hospital. *Job Summary:* · Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of a manager or function. May act on behalf of superior on routine matters within established guidelines. Reports to assigned manager. · *Supports Director level management or above.* *Responsibilities:* · Provide efficient, accurate, and timely administrative support to contribute to the success of the area by performing a variety of administrative duties. Compose correspondence and create reports using advanced computer programs and graphics skills to design formats. Design and maintain spreadsheets and databases using advanced features such as macros and linking of applications (i.e. spreadsheets and word-processing). Design standard records/forms/logs. Schedule appointments, coordinate meetings. Assist with coordination of daily C/section and Induction scheduling. Maintain selected files for management. Monitor and report on budget and/or other performance measures. Participates in charge capture revenue process. · Contribute to the smooth flow of information within the area, and to and from customers and other areas. Respond to complex inquiries regarding own work. Act based on independent judgment, understanding the impact across the organization. Involve others both within and outside the area needed or refer to a higher authority when appropriate. · Administrative support to Nursing Leadership Team for L5 units. Complete assigned portion of the work area's processes or projects to contribute to its effective operation. May facilitate, coordinate, or oversee the work of others in the process(es). Provide direction and training to others as necessary. Primary coverage for L&D front desk for lunch coverage or call outs as needed. · Contribute to the success of the work area by coordinating or performing a variety of administrative duties. Determine best approach to streamline processes and modify procedures as required. Maintain files in a complete, accurate, and timely fashion in accordance with the standards of the work area. Recommend changes to system to meet changing needs. Administrator for State of CT Newborn Screening and Maven Program. Collaborates with Nurse Manager on Kronos timekeeping and scheduling. · Demonstrate competencies, including knowledge and behaviors, to meet age and situational specific patient needs. Responsible for admitting patients to L5. · Work effectively as a team member within the department and with customers to provide quality service to hospital units through communication, cooperation and collaboration. Serve as backup to navigate and maintain unit security on L5 by maintaining Infant Security System, welcoming patients and families while screening visitors and directing to correct area. · Assume responsibility for self-improvement by collaborating with manager to identify growth opportunities and resources. · Support in supply chain management, Tecsys administration and monitoring of reports. · Maintain regulatory compliance logs. *Education:* · High School diploma or equivalent required. · Associates degree preferred. *Experience:* · One to two years previous secretarial experience.** · Proficient in Microsoft Office software. · Medical terminology a plus. *Knowledge, Skills and Ability Requirements:* * * · Excellent communication skills, both written and verbal. · High degree of confidentiality must have an ability to handle sensitive and confidential information and documents appropriately. · Strong planning and analytical skills and sound judgment are needed to achieve desired outcomes. · Excellent computer skills, including Microsoft Office suite. Database experience preferred. · Ability to prioritize, complete multiple assignments and coordinate and monitor workflow. · Capacity to work on multiple projects at once and adapt to changing priorities and deadlines.
