A Glimpse of the Job
The Administrative Associate IV provides advanced administrative support. Provides organizational planning and problem solving.
Job Responsibilities:
Clerical
+ Performs administrative duties while also providing customer service by greeting customers and answering phones.
+ Performs daily office support activities to ensure efficiency and effectiveness for the office.
+ Provides organizational planning and problem solving.
+ Supports staff and/or faculty with general operations tasks related to incoming calls or visitors to the office.
+ Performs word processing, desktop publishing, presentation creation, and data management activities.
+ Drafts, edits and proofreads correspondence, reports, publications, and presentations, and makes suggestions for improvements.
+ Prepares, modifies, and verifies documents.
+ Coordinates and schedules conference rooms, video conferencing, and other office related events.
+ Makes arrangements and provides logistical support.
+ Maintain routine office supplies including shared copy space and any related work orders related to the office suite.
+ Handles purchase information forms and travel documentation.
Office Maintenance
+ Coordinates office supply inventory and equipment, including routine review of shared office spaces for any needed updates or work orders.
+ Coordinates the maintenance of office reference materials including online office materials.
+ Applies, interprets, and communicates rules, regulations, policies, and procedures as appropriate.
+ Routinely evaluates procedures and workflows and makes recommendations for process improvement or administrative changes.
+ Assists in the coordination of daily business workflow and the resolution of complex and highly sensitive matters.
+ Cross trains other staff and student employees.
Back up support
+ Provides support with calendar updates for training information distribution for all programs as needed.
+ Provides support for special projects as needed for programs related to Research Compliance and Biosafety.
+ Provides back up as needed for travel arrangements including using online submission system functions.

Salary: $45,000 annually

Required Education and Experience
+ High school graduation or any equivalent combination of education and experience
+ Four years of experience in general office or clerical work.
Knowledge, Skills, and Abilities
+ Ability to work with sensitive information and maintain confidentiality.
+ Working knowledge of word processing, spreadsheet, and database applications.
+ Strong verbal and written communication skills.
+ Strong interpersonal and organizational skills.
+ Maintains professionalism and composure.
+ Ability to demonstrate initiative by independently taking action to solve problems.
+ Attention to detail.
+ Ability to multitask and work cooperatively with others.

+ This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures
+ All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements
