Who We Are
The Institute for Scientific Computation (ISC) is devoted to the design, analysis, and implementation of innovative computational tools to advance scientific and engineering research and education. ISC conducts multidisciplinary research under four disciplines of scientific computation: data management, mathematical modeling, numerical solutions, and visualization. Research includes advanced computational methods and numerical analysis; validation of numerical results; Field Programmable Gate Array (FPGA); advanced integrated data center; software architecture design; and visualization of multi-dimensional computational results.
What We Want
The Administrative Associate IV will be responsible for providing comprehensive administrative support to the Institute for Scientific Computation, including overseeing relations with the Division of Finance & Business Services, coordinating visitor logistics, managing office resources, and ensuring efficient departmental operations. The selected candidate will require a high level of organizational skill, attention to detail, and the ability to collaborate effectively with various stakeholders. The Administrative Associate IV will play a pivotal role in maintaining a secure, productive, and welcoming environment within the department.

+ Salary: Compensation will be commensurate based on the selected hire’s education and experience
+ Special Notes: This position is funded from grant and/or contract funding, which is renewed through provisions of the grantor of the contract. Therefore, this position is contingent upon continuation of funding from these grants and/or contracts, as well as satisfactory job performance.
Required Education and Experience:
+ High school graduation or any equivalent combination of education and experience
+ Four years of experience in general office or clerical work
Required Knowledge, Skills, and Abilities:
+ Knowledge of word processing, spreadsheet, and database applications
+ Strong verbal and written communication skills
+ Strong interpersonal and organizational skills
+ Ability to work with sensitive information and maintain confidentiality
+ Ability to cultivate and maintain professional working relationships
Preferred Qualifications:
+ Bachelor’s Degree
+ Four years of experience in office administration
+ Experience with administrative support in higher education
+ Experience with HTML and CSS in web development
+ Experience with Special event planning
+ Ability to work with faculty, staff, students, and visitors in a professional academic department with tact, diplomacy, and confidentiality
Responsibilities:
+ Office Management: Manages international visitor paperwork and logistics. Oversees office keys, office assignments, department access, and related tasks. Manages department parking permits. Maintains and orders office and kitchen resources, including supplies and equipment. Oversees mail via receiving, sorting, and routing mail and packages. Coordinates conference room reservations. Maintain a clean and organized office environment. May participate in the hiring, training, and supervision of student workers.
+ Administrative Support: Answers departmental telephones, screening calls, and forwarding as needed. Greets guests and visitors that enter the office. Assists with departmental updates such as department website, directory, phone list, and office assignments. Performs word processing, desktop publishing, presentation, and data management activities. Provides administrative support to the Assistant Director as necessary.
+ Event Coordination and Support: Assists the Assistant Director with the coordination and planning of special events and the logistics related to those events. Handles room reservations, food/beverage/snack orders, set up, clean up, and managing the registration desk the day of. May assist with travel arrangements for external speakers.
+ Finance Liaison: Liaises and collaborates with the Division of Finance and Business Services regarding ordering, bookings, and reimbursements.
