Job Description
The Administrative Associate IV works under general supervision and provides complex administrative support work to Health Services.
This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.
Responsibilities:
+ Provide support for the Executive Director (ED) by maintaining and updating the ED’s calendar by scheduling and planning appointments/meetings, etc., screening and routing incoming phone calls, inquiries, and correspondences, and preparing and distributing necessary administrative documents such as approval forms, memos, reports, and presentations, and anticipating and addressing issues as they occur with the ability to problem-solve and identify solutions independently.
+ Supervise student workers assigned to the EDs office. Assist with event programming and execution including space reservations, approvals, vendor communications, and catering.
+ Take and prepare minutes for the ED meetings. Oversee the Health Services non-clinical supply order processes. Serve as the departmental HR contact. Assist with Health Services monthly account reconciliations.
+ May coordinate activities and assign work to student workers and support staff. May participate in the hiring training and supervising student workers and other support staff. Provide backup support for the student health clinic administrative team. Serve as a Health Services liaison upon request at meetings, events, and programs.
+ Perform other duties as assigned.
Required Education and Experience:
+ High school diploma or equivalent combination of education and experience.
+ Four years of related experience.
Required Knowledge, Skills and Abilities:
+ Knowledge of word processing, spreadsheet, and database applications.
+ Ability to multitask and work cooperatively with others.
+ Strong verbal and written communication skills.
+ Ability to work with sensitive information and maintain confidentiality.
+ Strong interpersonal and organizational skills.
Preferred Qualifications:
+ Bachelor's Degree.
+ 4 or more years of healthcare experience.
+ Highly proficient in Microsoft Word, Excel, and Teams.
