This includes such responsibilities as greeting walk in traffic and providing service to our University customers on a daily basis; answering the phones and directing questions from students and staff to the appropriate Business Office staff; supervising student employees; preparing invoices to outside entities. The position is required to support and assist Business Office staff with filing, check processing and auditing, and business processes as requested. Must be able to communicate in a polite and professional manner in all situations. The position reports to the Associate Vice President for Business and Finance and Controller. Responsibilities: + General Office skills and duties including answering telephones and walk-in traffic + Filing, assistance with other office staff administrative duties + Supervise student employees for the Business Office + Audit local accounts payable checks before putting in the mail + Audit state warrant’s for accountants payable payments before putting in the mail + Maintains 100% compliance with timely completion of required System, University and job- specific online training courses. + Prepare requisitions for the office + Prepare invoices for the office and other Departments on campus + Work with department to get sundry receipt books checked in and out + Manage the office phone loop + This document represents the major duties, responsibilities, and authorities of this job, and is not intended to be a complete list of all tasks and functions. Necessary Qualifications: + High School Diploma or GED or equivalent combination of education and experience. + Five (5) years of Office Experience + Ability to effectively operate a computer and have working knowledge of Microsoft Word, and Excel. + Ability to work with Students, Faculty, and Staff in a friendly, customer service oriented environment. + Ability to multi-task and work cooperatively with others. Preferred Qualifications: + Bachelor’s Degree or equivalent combination of education and experience. + Seven (7) years of experience in a fast-paced office responding to phone calls and assistance with walk in traffic. + Business Office experience with Word, Adobe, processing checks, vouchers, etc. at WTAMU.
