Description We are offering a contract for a diligent and efficient Administrative Asst/Exec. Asst IV in Saint Paul, Minnesota. In this role, you will be tasked with handling sensitive information, managing calendars, coordinating meetings, and making travel arrangements.
Responsibilities:
• Handle confidential information with discretion and integrity
• Manage and organize the electronic calendar for executives, including scheduling appointments, meetings, and functions
• Prepare and provide necessary documentation to assist with meetings
• Coordinate conference calls and WebEx meetings
• Arrange domestic and international travel logistics, including booking flights and accommodations
• Prepare comprehensive itineraries and agendas for meetings and visits
• Provide administrative support for executive leadership team meetings, including distributing relevant materials and agendas, and preparing and distributing meeting minutes
• Create high-quality reports, presentations, and other documents using Microsoft Word, PowerPoint, and Excel
• Draft correspondence, agendas, presentations, and other documents as instructed, ensuring accuracy and presentation
• Manage projects as requested
• Prepare expense reports for executives
• Plan, organize, and schedule priorities for executives and direct reports within guidelines
• Serve as a liaison for internal customers and key executive contacts
• Process outside counsel invoices using the company e-billing system
• Assist outside counsel with billing and invoice status. Requirements • Demonstrated proficiency in Customer Service
• Excellent Communication skills, both verbal and written
• Proven experience in Management
• Ability to handle Documentation tasks accurately
• Experience in Reporting and generating insights
• Proficiency in Microsoft Excel
• Strong Planning and organizational skills
• Knowledge of Invoice processing and tracking
• Experience with Materials Handling
• Proficient in Microsoft Word
• Commitment to Quality and attention to detail
• Ability to handle Scheduling tasks efficiently
• Experience in Project Management
• Proficiency in Microsoft Outlook
• Experience in Supervising a team or a project
• Ability to create and deliver Presentations
• Familiarity with Logistics management
• Knowledge of Billing procedures
• Experience in handling Correspondence
• Ability to manage Calendar effectively
• Experience in serving as a Liaison between different teams or departments
• Proficiency in Microsoft PowerPoint
• Experience in Coordinating Appointments
• Ability to maintain Confidentiality in handling sensitive information
• Experience in working with C-Suite executives TalentMatch®
