Overview The Administrative Bookkeeper is a key support role within the tax and accounting department, responsible for managing e-filing processes, preparing for tax season, reconciling billing reports, maintaining client databases, and providing general office support. This role ensures smooth daily operations, efficient handling of client documents, and adherence to important deadlines. The Office Coordinator also manages client communications, software troubleshooting, and bookkeeping tasks, while maintaining an organized and professional office environment. This role is located in Boxborough, MA. Essential Duties E-Filing Management: Handle all e-filing of tax returns and extensions, follow up to ensure acceptance, and resolve any rejections promptly. Tax Season Preparation: Assist with tax season preparation, ensuring all necessary materials and processes are ready. Billing Reconciliation: Reconcile the cash receipts log against TPS billing reports. Reconcile all month-end billing reports from TPS to ensure accuracy. Client File Management (ShareFile): Manage all ShareFile-related tasks, including maintaining the client folder list, responding to client inquiries, and setting up and inviting clients to the platform. Software Troubleshooting: Manage all Lacerte and other software troubleshooting tasks, including coordinating with customer support as needed. Handle correspondence between the office and software support representatives. 1099 Preparation: Prepare and manage 1099s, including gathering information from clients, TIN matching 1099 recipients, and preparing extensions when necessary. Bookkeeping: Perform all bookkeeping for the business, including reconciling payroll and loan accounts. Deadline Management: Track deadlines and monitor all relevant spreadsheets for upcoming due dates, such as tax deadlines, extensions, 1099 preparation, annual reports, and town/city assessor forms. Client Services & Processing: Handle billable work including tax return preparation, bookkeeping for QuickBooks and Business Works clients, and filing sales tax. Prepare packages for clients and other professionals, ensuring timely and accurate delivery. Financial Record Keeping: Record deposits, including checks and credit card payments. Maintain and update client databases and log invoices. Administrative Support: Schedule calendar appointments and answer phones, providing assistance to callers with general questions. Order office supplies and ensure the office remains organized and tidy. Client Interaction & Support: Update the client database, manage access to clients' payroll, and handle TPS invoicing and collection calls. Log in client documents into all applicable databases upon receipt and log out client names when packages leave the office. File annual reports on clients' behalf. Education & Experience 2+ years of relevant experience in accounting, bookkeeping, and/or tax preparation for individuals, businesses, partnerships and trusts Compensation: $22-$25 per hour. This range is a good faith estimate of the compensation to be offered for this position based on the ideal candidate’s qualifications, the Company’s operational needs, and other considerations permitted by law.
