Role Purpose: The Administrative Assistant for the Ad Sales, Business & Legal Affairs Group will be responsible for administrative support, contract management, and general assistance for the group attorneys in all aspects. The candidate must possess strong organizational skills, as well as the ability to communicate effectively with the lawyers and their in-house clients. Job Duties: + Provide administrative assistance and support for General Counsel and group of attorneys + Own calendar and meeting scheduling + Arrange and schedule numerous meetings involving executives at all levels + Maintain and update calendars + Coordinate audio/visual needs for critical meetings + Develop and maintain relationships with executive assistants throughout the company + Demonstrate flexibility, patience and persistence in routinely rescheduling meetings + Prepare executive presentations as directed, including both electronic and hard copy files + Answer phones professionally, take messages, and handle scheduling and logistics for meetings + Arrange travel and accommodations, process travel expenses, and prepare expense reports + Process invoices from outside counsel and others + Manage contracts, as well as prepare, revise or review documents, under attorney supervision + Plan and implement internal and external team communication + Maintain team intranet presence + Prepare summaries and indexes of agreements + Organize and maintain documents in electronic filing systems + Manage special projects as designated Basic Requirements: + 1+ years of work experience + Bachelor’s Degree or equivalent experience + Proficiency in Microsoft Office, including Word, PowerPoint, and Outlook Desired Characteristics: + Strong work ethic, with ability to multitask successfully, work efficiently and meet multiple deadlines + Excellent administrative and organizational skills, with high attention to detail + Exceptional oral, written, and interpersonal communication skills + Ability to see matters through from conception to completion + Proven ability to maintain strict confidentiality and professionalism, while exercising discretion + Ability to work independently and collaboratively Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week. This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
