Metropolitan Human Services District (MHSD) is one of ten Local Governing Entities (LGE) serving persons with Mental Health Disorders, Addictive Disorders and Intellectual/Developmental Disabilities in Louisiana. Legislated by the State and through its Board of Directors, MHSD is responsible for the operation and management of community-based programs and services for the parishes of Orleans, St. Bernard, and Plaquemines.
We are currently hiring for an Administrative Coordinator 3
The incumbent in this position will be responsible for the maintenance, storage, and proc essing of all medical records and electronic heath record (EHR) data for MHSD. This role involves performing a variety of clerical and technical duties related to medical record management, including, but not limited to, assembling, analyzing, releasing information, data processing, collection, reconciliation, and preparation of reports. The incumbent must ensure compliance with medical, administrative, ethical, legal, and regulatory requirements within a mental health care system. The ability to work independently and communicate effectively-both verbally and in writing-with clients, family members, the public, physicians, and staff is essential.

Minimum Qualifications
Two years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Distinctions:
Differs from Administrative Coordinator 2 by the presence of responsibility for clerical duties that involve greater scope and complexity, including initial program duties.
Differs from Administrative Coordinator 4 by the absence of paraprofessional duties that involve a higher degree of specialization, complexity, and/or independent judgment.
Examples of Work
60% Medical Records Management & Compliance
•Upholds MHSD's mission and vision in all interactions with internal and external stakeholders.
•Assists in the development and enforcement of policies and procedures to ensure that medical records comply with governmental regulations and professional standards.
•Monitors and tracks compliance with legal documents and correspondence with conservators/guardians, providing regular updates to the Legal/Compliance Director.
•Prepares and processes clinical records for individuals receiving services at MHSD facilities.
•Maintains the Medical Records Request database and tracks requests through completion.
•Audits clinical records for completeness and adherence to compliance standards, reporting findings to the Legal/Compliance Director.
•Ensures timely and accurate data collection.
•Coordinates the management of vital records, including pick-up, return, and secure disposal (shredding), for the entire agency, including medical records, I/DD, and fiscal departments.
•Provides support to clinicians to facilitate PS requests as needed.
•Manages all interpreter requests for the agency and reviews invoices for accuracy.
•Ensures all medical records requests are processed and sent out within required deadlines.
25% Data Management & Quality Assurance
•Converts physical documents into digital formats such as microfiche, microfilm, or other electronic document imaging systems.
•Verifies the accuracy of EHR data provided to physicians, hospitals, and other entities.
•Ensures the accurate and timely documentation of demographic and episodic information of persons served.
•Exercises good judgment, decision-making, and initiative in daily operations.
•Ensures proper use of equipment and supplies while maintaining budgetary parameters.
•Fosters a cooperative working relationship with all team members.
•Verifies accuracy of payments received for medical record requests.
•Identifies and implements process improvements as necessary.
10% Customer Service & Professional Conduct
•Demonstrates a strong understanding of MHSD's clients, families, and governmental agencies in all interactions.
•Represents MHSD professionally, demonstrating respect and understanding of the community.
•Completes tasks and assignments within expected deadlines.
•Adheres to attendance policies and demonstrates reliability.
•Conducts training sessions for front desk staff on medical records policies and procedures as needed.
