Administrative Coordinator
The School of Advanced International Studies is seeking an **_Administrative Coordinator_** **.** Reporting to the Director of the Reischauer Center for East Asian Studies, the Administrative Coordinator will be responsible for the overall administrative coordination for the Reischauer Center and support the Director. The individual will administer and maintain program budgets, support research agendas and grant programming, and also support staff and faculty involved in the program. The individual will be responsible for maintaining daily support of the Reischauer Center while helping the director to enhance research outcomes. **Specific Duties & Responsibilities** _Financial Management_ + Write grant applications, reports, and manage documentation maintaining positive relationships with sponsor administrative contacts. + Track sponsored and non-sponsored accounts, spending, budget forecasting, and salaries. + Submit salary and supplemental payments for students, faculty, staff, and guests. + Manage department spending, ordering, invoices, scholarships, and accounting. + Administer daily operations (budget and billing verifications, changes, corrections, and updates) and provides complete follow-up. + Review and reconcile monthly expense statements, monitor monthly expenditures, and gather supporting documentation for supervisor review and approval. _Personnel (Human Resources Support)_ + Recruit, interview, hire, track salaries and manage student workers and Reischauer Policy Research Fellows. + Compute payments for and implement supplemental payments for students, faculty, and staff. + Advise Reischauer Policy Research Fellows on policies and procedures for the program, time off, and other help as needed. + Identify and resolve administrative problems and issues. Develop and recommend administrative processes/procedures to assure efficiency. Interpret and communicate operating policies. _Event Management_ + Coordinate with director and faculty on events and conferences. + Coordinate with guest speakers on logistics, travel, reimbursement, honorariums and related tasks. + Order catering and other vendor management: payments, contracts, Payment Works onboarding. + Coordinate with SAIS Events, IT, and Security teams for event coordination [in-person and webinars]. + Ability to be flexible, efficient, and use judgment throughout event coordination. + Assist with up to two international student trips; manage the outcomes and communication with sponsors. + Manage social media platforms and Reischauer Center website and provide content development. _Research_ + Assist with the Director's course development as needed. + Assist the Director in managing research conferences and publications. + Other tasks as requested by the Director. **Special Knowledge, Skills, and Abilities** + Ability to work effectively, efficiently, and independently under the supervision of the director. + Ability to provide support in team-oriented environment. + Ability to work effectively with faculty, staff and students from a variety of diverse backgrounds. + Demonstrated organizational skills with proven ability to effectively prioritize workload. + Exceptional oral, written and interpersonal communication skills. + Proven ability to multi-task and process data quickly with a high level of accuracy. **Minimum Qualifications** + High School Diploma or graduation equivalent + Three years related experience + Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula. **Preferred Qualifications** + Masters in International Affairs with knowledge of East Asia. + Japanese language proficiency. + Administrative and research experience. + Editing and research experience.
