Administrative Coordinator
Department/Unit: HBD - Medicine Endocrinology Work Shift: Day (United States of America) Salary Range: $47,921.64 - $71,882.46 This position will work closely with the Division Chief and the Practice Coordinator, assisting with the management and oversight of practice operations. The Administrative Coordinator also serves as the backup to the Practice Coordinator, providing support and guidance to the clerical staff to ensure optimal practice efficiency. In this role, the Administrative Coordinator will learn additional skills and be developed in preparation of advancement SPECIFIC JOB DUTIES: • Provide leadership and support to the Practice Manager/Coordinator & clerical staff, including:o Oversight of staff and clinic in absence of the Practice Coordinator o Assist with recruitment, onboarding, and training of new staffo Weekly Communication Emailo Ongoing monitoring of the Division’s ACD line and assistance with taking phone calls from the ACD line when neededo APM schedule maintenance and monitoringo Assist with Division initiatives such as the Huddle Board and LEAN projectso Oversight of task views and worklists • Assist with Division expense management activities, including:o Purchasing of items using sound judgement of cost vs. need through online suppliers such as Lawson, W.B. Mason, Taylor, etc. o Check request processingo Travel reimbursement processing• Oversight of Revenue-cycle related activities, including:o Open Encounter Reporto Follow up associated APM queues (pending and unpaid claims)o No Charge Report & Co-Pay Disputeso Resolution of Provider billing issueso Provider Task Report• Working closely with the Practice Manager to learn new skills such as schedule management and monitoring, Pulmonary and Rheumatology operations, employee issues resolution. QUALIFICATION REQUIREMENTS: To perform this job successfully, the individual must be able to perform each essential duty satisfactorily as outlined. The individual must have an excellent working knowledge of computer-based applications, strong PC skills, and be able to learn new programs. The person must possess good analytical skills, with a strong attention to detail, and excellent decision-making skills, as well as have the ability to multi-task and manage time both efficiently & independently. The individual in this role must also demonstrate an ability to train a diversified group of employees, both one-on-one and in a group environment, as necessary. Furthermore, an ability to work & interact pleasantly with a diverse group of people (both inside & outside of the organization) is essential in this position, as is the ability to come up with creative solutions & handle resolution management, whether it be while interacting with patients or colleagues. EDUCATION: Associates Degree required. EXPERIENCE: At least 3 years of experience in a medical environment is ideal, along with some experience with medical terminology, billing, & customer service. COMMUNICATION SKILLS: Must have strong organizational, communication, and interpersonal skills. Encourages open communication with all staff for discussion of problems, suggestions, etc. Problem-solves, performs computations, and interprets data. Feels comfortable making independent decisions when necessary, & communicating that to superiors as needed, in addition to being able to bring forward ideas for more streamlined or efficient process improvement.
