Administrative Coordinator
Title: Administrative Coordinator Department: Civil & Environmental Engineering Reports To: Distinguished Professor Civil & Environmental Engineering Position Type: Staff Position Summary: Under the direction of the Chair, the Administrative Coordinator provides primary communications and administrative support services to the John A. Reif, Jr. Department of Civil and Environmental Engineering. Essential Functions: - Writes news articles and news features and prepares the department's quarterly newsletters and other publications electronically and in print. This involves researching strategic topics, interviewing students, faculty and staff, alumni and collecting photos. - Updates the department website on a regular basis. - Prepares reports, tracks financial records, prepares outgoing communications to the NJIT community and external constituencies such as correspondence, proposals and memoranda, drafts and prepares routine letters and memos, graphs and charts. - Prepares and proofreads technical, scientific, financial, statistical and other statements and reports, letters and memoranda from rough draft or other materials and translates high volume, publishable, quality, finished, edited, proofed and formatted work product on the computing program(s) of NJIT's choice. - Enters data into NJIT's integrated systems including the Banner systems. Enters purchase requisitions and receives reports; makes inquiries on status of purchase requisitions. - Other functions include support of academic advisement, student activities, outreach activities and others assigned by the Chair. Additional Functions: - The incumbent provides a broad range of common secretarial and administrative services endemic to a full service academic operation. - Other duties as assigned. Prerequisite Qualifications: - Bachelor's Degree in a related field required. - At least 3-5 years of progressively complex administrative work experience. - Proficiency in utilizing digital media communications is essential, including operating personal computers for tasks such as word processing, spreadsheets, data entry, website updates, publications and electronic mail. - At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position. Preferred Qualifications: - Communications or publications related experience. - Knowledge of Constant Contactor similar web-based publications platforms.
