ASM GLOBAL, the leader in privately managed public assembly facilities, has an excellent and immediate opening for an Administrative Coordinator at the David L. Lawrence Convention Center. The Administrative Coordinator is responsible for providing administrative support to the Security Department, with a primary focus on managing time and attendance for union security workers, coordinating schedules, and maintaining compliance with union agreements. This role ensures efficient operations within the department, fosters communication, and supports the overall security function of the convention center . This individual will also serve as an Operations Supervisor, contributing to event logistics and overall departmental success .
Essential Duties and Responsibilities Included but not limited to:
Scheduling and Coordination:
+ Develop and maintain schedules for union security workers, ensuring coverage for all events and operations.
+ Coordinate shift changes and resolve scheduling conflicts in alignment with union guidelines.
+ Communicate assignments and schedule changes effectively to all team members.
+ Liaise with other departments to ensure seamless security coverage for events and day-to-day operations.
Time and Attendance Management:
+ Monitor and track employee attendance, ensuring accurate timekeeping.
+ Process and verify Service Works Orders in Ungerboeck ensuring accurate billing information
+ Address and resolve any discrepancies or issues related to attendance and timekeeping.
+ Process and oversee employee fingerprint enrollments and communicates with the operations team via shift notes to retrieve employee timecards that are not recorded in the computerized time clock management system (i.e. ABI).
Union Compliance:
+ Maintain a thorough understanding of union agreements and ensure compliance in scheduling and employee management practices.
+ Collaborate with HR and management to address union-related concerns and questions.
Administrative Support:
+ Provide administrative support to the security team, including incident reports, visitor logs, memos, and updates.
+ Assist in the preparation and coordination of operational meetings and training sessions.
+ Assist in preparing reports, presentations, and documentation as requested by the Director of Security.
+ Serve as the point of contact for administrative inquiries related to the Security Department.
+ Perform special assignments and other duties as assigned.
Working Conditions
+ Not substantially exposed to adverse conditions
+ Perform office-related functions in standard office settings – sitting and working on the computer and phone.
+ This position is event driven and may require flexibility to work occasional evenings, weekends, and holidays as needed based on event schedules.
Qualifications
+ Bachelor’s degree or equivalent experience in business administration, management, or a related field (preferred)
+ 2+ years of administrative or coordinator experience, preferably in a security, operations, or unionized environment. (preferred). Supervisory experience is a plus.
+ Familiarity with timekeeping systems and scheduling software is (preferred).
+ Excellent organizational and multitasking abilities.
+ Proficiency in computer technology or ability to quickly acquire a working understanding of applications, specifically Microsoft Office Suite (Word, Excel, Outlook) and scheduling software. management software.
+ Strong communication and interpersonal skills.
+ Ability to work independently with minimal supervision and as part of a team.
+ Detail-oriented with a proactive approach to problem-solving.
+ Ability to work effectively with trades & labor personnel, administrative staff, client, customers, and contractors.
+ Knowledge of labor laws and union agreements is a plus.
Physical Requirements:
+ Ability to sit for extended periods and perform repetitive tasks.
+ The role may involve standing, walking, and other physical activities associated with event coordination.
+ Capacity to lift and move office supplies and equipment as needed (up to 25 Ibs.)
