Summary of Position:
As an Administrative Coordinator, you will play a key role in supporting Leader(s) and their respective client groups by handling a wide range of administrative responsibilities. Your role will involve gathering, organizing, and tracking information to support the functional area or team, while also contributing to special projects, research, and data analysis.
You will act as a central point of coordination, facilitating seamless communication and collaboration between departments and external partners. With the ability to handle work that is often critical or confidential in nature, you will be instrumental in ensuring efficiency and effectiveness within the team.
What You’ll Do:
Lead all aspects of procurement and expense processes for internal client groups, including raising purchase orders (POs), handling invoices, payments, and vendors, as well as assisting with new vendor setup (e.g., Coupa).Ensure all required documentation is in place for HCPs, ARIES, contracts, POs, payments, proof of services, and file preparation for transparency and compliance.Stay current on procurement and finance policies, procedures, and software to effectively handle budgeting, phasing, and creating invoices, purchase orders, and requisitions.Coordinate HCP travel arrangements for both local and international trips, ensuring compliance with T&E policies.Maintain an organized and efficient filing system, including governance of tools like Box, OneDrive, ALXN Operations Resource Hub, and SharePoint folders.Assist the finance business partner with monthly and quarterly budget meetings and reviews.Identify, develop, and implement process improvement initiatives to enhance efficiency within the administrative team.Provide support for special projects or other administrative tasks as needed.What We’re Looking For:
Ideally 4+ years of experience in administrative support, ideally with exposure to senior leadership teams.Ideally experience within the healthcare, consulting, and/or tech industries would be preferred.Proven team player with exceptional collaboration skills and the ability to engage effectively with multiple stakeholders.Demonstrated professionalism and sound judgment in handling sensitive and confidential information on behalf of leadership.Strong financial acumen is an asset.Experience with DocuSign, purchasing and procurement systems such as Coupa or Ariba, as well as ERP systems like SAP.Familiarity with department budgets, financial management, and vendor oversight.Exceptional organizational and communication skills, both written and verbal.Ability to drive projects to completion while maintaining diplomacy and fostering strong relationships.Self-motivated and capable of working independently with minimal supervision.Outstanding time management and organizational skills, with the ability to handle multiple priorities effectively.Proficiency in the MS Office Suite, with advanced skills in Word, Excel, PowerPoint, and Outlook.Who We Are:
