Administrative Coordinator (aHEO) - Career Center, Division of Student Affairs **POSITION DETAILS** The Administrative Coordinator will report to the Student Career Program Director. In addition to the CUNY Title Overview, the Administrative Coordinator will be responsible for the following duties: ¿¿ Front Desk Management and Representation: Serve as the primary point of contact at the Career Center front desk, answering phones, greeting visitors, and providing a welcoming and professional environment for students, faculty, staff, and external partners. ¿¿ Administrative Support: Provide administrative support to the Career Center team, ensuring seamless operations and effective communication across departments. ¿¿ Liaison Duties: Liaise with various departments to coordinate work orders, facilities requests, and other operational needs. Maintain strong relationships with internal and external stakeholders to support Career Center initiatives. ¿¿ Purchasing and Budget Support: Assist the Director in managing purchasing processes, maintaining accurate records of expenditures, and supporting budget-related tasks as needed. ¿¿ Payroll and Timesheet Management: Track and ensure the timely submission and accuracy of student worker timesheets. Coordinate hiring and payroll functions for student workers and part-time staff. ¿¿ Data and Record Management: Maintain confidential databases, records, and files related to Career Center operations, ensuring accuracy, compliance, and confidentiality. ¿¿ Reporting and Follow-Up: Generate regular reports, monitor task completion, and follow up with team members and stakeholders to ensure deadlines and assignments are met. **QUALIFICATIONS** Bachelor’s degree required. PREFERRED QUALIFICATIONS ¿¿ Strong customer service skills, with the ability to manage front desk operations and provide a welcoming environment for students, faculty, staff, and visitors. ¿¿ Excellent writing, editing, organizational, interpersonal, and presentation skills. ¿¿ Proficiency in documentation and record-keeping, ensuring accuracy and confidentiality in maintaining office files and records. ¿¿ Attention to detail, with the ability to uphold strict confidentiality and ensure the accuracy of communications and reports. ¿¿ Proficiency in Microsoft Office, including Excel, and competency with digital and/or web-based tools for scheduling, tracking, and communication. ¿¿ Demonstrated ability to prioritize competing tasks in a deadline-driven environment with time constraints, effectively spot issues/problems, and identify potential solutions. ¿¿ Capacity to easily develop and maintain collegial relationships within a complex college community. **CUNY TITLE OVERVIEW** Supports projects, initiatives, and activities that impact an academic or administrative department. - Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. - Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. - Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. - Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. - Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. - May supervise office staff and student workers. - Performs related duties as assigned.
