We offer competitive salaries and benefits, as well as a stimulating work environment that inspires excellence. *JOB SUMMARY:* Contributes to the overall success of Hartford Hospital Bone and Joint Institute by providing multi-dimensional complex administrative support to the Physician-in- Chief and Vice President of the Bone and Joint Institute in a manner which requires self-direction, creativity, and independent and discretionary judgment. *KEY RESPONSIBILITIES: * * Arrangesand schedules a variety of meetings, initiates and responds to requests for scheduled time, maintains current and accurate calendars to ensure efficient scheduling, minimizes conflicts and ensures deliverables. Ensures Physician-in-Chief and Vice President are prepared for appointments by anticipating and gathering necessary materials for each meeting, including meeting agenda. * Preparesagendas, assembles and organizes materials, performs necessary follow-up actions, initiates reminders and records/transcribes minutes of meetings and/or presentations to various internal and external audiences, committees and Boards to ensure the thorough preparation, organization and documentation of activities and outcomes. Plans, creates and coordinates executive-level communications and presentations. * Project manager for BJI fellowships and educational activities. Assist in the management of the programs’ operational activities. * Assists Chief and divisional executives with distribution and maintenance of complex clinical rotation and on-call schedules for fellows and ensures that all rotation schedules are fully supported by appropriate sites and preceptors. * Manages confidential fellow performance evaluations, evaluations of faculty and the educational program and prepares reports and correspondence related to highly confidential material. * Assuresfellow compliance with institutional and ACGME resident survey requirements Coordinates all administrative duties relative to the recruitment and selection of fellows. Manages Electronic Resident Application Service (ERAS) and ensures receipt of required application materials. Provides information for the fellow rank list for submission to the National Resident Matching Program (NRMP) and the specialty matching program. * Coordinates regular and special educational conferences for faculty and fellow, as appropriate. Assists fellows in obtaining and maintaining valid licensure and ECFMG sponsorship documentation. * Workswith GME Office to create contracts for new and continuing fellows; processing new hire paperwork for incoming fellows and other ongoing documentation as required. Prepares, organizes and participates in accreditation site visits, annual program updates, and program internal reviews. Responsible for coordinating all details. Maintainfellowship program records and evaluations; completes program reports in accordance with accreditation standards, tracks participant progress through the program for completion of requirements; coordinates information required for ongoing program recertification. * Assures required Letters of Agreement and Affiliation Agreements are in place for all off-site rotations. * Provideseditorial management and support to executives for all editorial and publication related activities. Communicates with editors and staff regarding all publication activities. Scheduleand coordinates conference calls and other activities with editorial board and editorial staff. * Participates in the creation, design and publishing of all recruitment material sent to prospective trainees and posted on the respective websites. Develop a thorough knowledge of and be able to disseminate information regarding requirements of the AAMC National Resident Ranking Program (NRMP). * Project management for all Bone and Joint Institute events. * Anticipates problems, critical issues and/or opportunities and acts accordingly. Provides suggestions for new methods of working for improved effectiveness and efficiency. * Providessupport to other staff, as needed; works effectively in a team environment. *Minimum Requirements* *Education:* * Bachelor’s degree required *Knowledge, Skills, and Ability Requirements:* · Advanced proficiency in Microsoft Office Suite required (Excel, PowerPoint, Word, Outlook) PowerPoint and Excel. · Excellent communication skills both written and verbal. · High degree of confidentiality.
