The Lehman College English Department is a vibrant department of readers, writers, scholars, critics, editors, digital humanists and engaged community members. Through innovative teaching and inventive scholarship, we practice critical analysis, creative expression, and skills for understanding and contributing to a wide range of communities. Each of our three tracks for the major -- Literature, Creative Writing, and Professional Writing -- prepares students with the skills and knowledge necessary for the many professions available to English majors. Reporting to the Chair of the English Department, the Administrative Coordinator will be responsible for participating in the daily coordination of the academic and administrative activities and functions of the department. Specific duties include but are not limited to: • Provide administrative support to department and assist with Office operations, Equipment and Supplies. • Maintain record/archive of department SETLs, observations, and syllabi. • Onboard adjuncts and full-time faculty for the Fall, Spring, Winter and Summer Semesters, working with HR to ensure all required paperwork are submitted. • Input adjunct faculty in the system to produce workload and concurrence letters for department chair signature. Compose letters of Reappointment, Recension, Semester, Contractual, Schedule assignments and Annual letters for Adjuncts and Full-time faculty. • Process personnel action forms for faculty. Assist full-time faculty with travel reimbursement, work closely with Accounts Payable for travel reimbursement, and process requisitions for HSD department and faculty. • Work closely with Budget to maintain HSD budget and EXS Lab Fees. Track start-up funds for full-time faculty. Manage departmental procurement processes and accounts. • Work closely with the staff at the Research Foundation to administer department's RF account. • Work closely with Buildings and Grounds to arrange for furniture and facility services. Assist adjunct and fulltime faculty with computer set up for classes. • Assist students in the undergraduate and graduate programs with inquiries. Provide prospective students with information about the English Departments programs and course offerings. • Maintain and update content for the English Department directory, web pages, publications, and bulletin boards. **QUALIFICATIONS** Bachelor's Degree required. Experience working in an academic setting preferred. **CUNY TITLE OVERVIEW** Supports projects, initiatives, and activities that impact an academic or administrative department. - Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. - Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. - Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. - Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. - Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. - May supervise office staff and student workers. - Performs related duties as assigned.
