The Health Science Center (HSC) is looking for an Administrative Coordinator II to support the Insitute of Biosciences and Technology. Required Education and Experience
+ Bachelor’s degree or equivalent combination of education and experience
+ Two years of experience in office administration

Responsibilities
+ Administrative Operations Management: Oversees planning and execution of administrative operations for the Center for Genomic and Precision Medicine (CGPM). Serves as office manager for the center and point of contact for visitors and guests. Maintains, monitors CGPM’s calendar, and schedules appointments. Coordinates travel arrangements and prepares itineraries for the faculty and other center personnel. Researches and responds to inquiries about office procedures and processes. Develops and maintains administrative office procedures. Coordinates the creation, maintenance and retention of files, records, laboratory supplies and equipment. Coordinates inventory and maintenance of laboratory supplies and equipment. Reviews and monitors project and program timelines and proactively identifies issues. Reviews and signs documents for on behalf of the center. Serves as primary administrative support for CGPM and occasional back up support to assigned functional areas.
+ Support and Coordination: Provides administrative support for center’s faculty and lab personnel. Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support. Coordinates special events to include the IBT Seminar Series. Assists with content and maintenance of Center’s website and social media. May serve as a search committee member and assist with new hire processing. Assists in the orientation of new center or lab employees, students, and visiting scholars. Assists with visiting scholar packet completion. Attends meetings or committees on behalf of the center. May take minutes at meetings.
+ Purchasing: Monitors and tracks all lab-related expenses, supplies, equipment, and travel expenses. Purchases lab supplies, equipment, and services for the center. Prepares travel and reimbursement expenses reports and submits them for proper approval and payment. Assists with Pre-Clinical Imaging Core invoice processing, administrative duties, and budgeting. Assists in the coordination and administration of grant budgets.
+ Compliance and Policy Oversight: Monitors and ensures compliance with office policies and procedures. Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures. Assists in establishing procedures to ensure compliance with regulations.
