The Administrative Coordinator II, working under the general supervision of the Program Manager, assists in all administrative related duties for the College of Medicine Student Affairs Department at the Bryan and Houston campuses. Helps plan and coordinate meetings, administrative activities, events, and assists with travel arrangements and support.

Salary: Starting at $45,000 annually

Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience
+ 3 years of related experience in office administration
Preferred Qualifications
+ Bachelor’s degree
+ 5 years of experience in general office or clerical work
+ Experience in education (ISD or higher education)
+ Proficiency in general computer programs and skills
Knowledge, Skills, and Abilities
+ Ability to effectively communicate both orally and in writing
+ Ability to positively and professionally interact with students, faculty and staff
+ Strong interpersonal and organizational skills
+ Working knowledge of office software and instructional programs
+ Ability to multitask and work cooperatively with others
Responsibilities
+ General Office Coordination: Coordinates administrative support functions. Plans and coordinates administrative activities and services. Participates in the planning and execution of administrative operations. Develops, evaluates, and ensures adherence to office procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures. Coordinates travel arrangements and prepares itineraries. Plans and coordinates meetings, seminars, and other special events. Coordinates the maintenance of office supplies and equipment. Makes recommendations for process improvements. Reviews and signs documents for supervisor. Attends meetings or committees on behalf of supervisor. Assist in gathering information, typing and editing of the Dean’s letter/MSPE (Medical Student Performance Evaluation) reports, drafts, correspondence and memos for students Bryan and Houston Willowbrook students, as well as the Willowbrook campus Student Affairs Dean. Creates forms, reports and tables associated with the MSPE.
+ Special Projects: Assists Program Manager in the planning, scheduling and arranging of medical student orientation activities, class meetings, Match Day, Hooding and Awards Ceremony, Med School Olympics, Commencement and other student activities along with reimbursements. Provides Administrative support for COM health and well-being activities. Performs special analyses and project summaries. Prepares and reviews operational and special reports.
+ Student Affair Special Functions: Assist others in the Office of Student Affairs as needed with student support for activities. Coordinates office records retention and maintains office references and resources materials. Provides clerical support for College of Medicine students as they request letters of good standing, verification of enrollment, criminal background checks, drug screens and numerous other documents and forms required for all former students.
+ Other Duties: Performs other duties as assigned
