Pay Rate: $23.00 /hr. Position Summary: The program assistant supports our participants and clinical team in our dual-licensed OMH/OASAS MAT program. Reporting to the Office Manager of Addiction Services, the program assistant, in tandem with the program coordinator, will ensure program success by providing administrative support in our fast-paced medication assisted treatment clinic. Responsibilities: + Support a high-performing culture aligned with TGCW core values and B.A.S.I.C Tenets: Balance, Accountability, Satisfaction, Inclusion, and Communication. + Coordinating the daily administrative activities, including psychiatric and medical scheduling, patient check-in and check­out, and participant medical record maintenance. + Creates medical records in Electronic Health Record (EHR), OASAS, and GPRA maintenance system, for new and existing participants. + Liaison for toxicology screenings & reporting. + Screens incoming telephone calls and responds to questions with the ability to escalate calls appropriately and effectively. + Handles questions, needs and concerns of waiting patients. Alert staff if someone appears ill or under the influence of drugs. + Records minutes for meetings and attendance. + Always adhere to strict CFR Part 42 confidentiality standards. + Works cooperatively with other staff to assure that sites are safe, clean, and secure. + Maintains professional manner in all communications, both written and oral. + Verifies insurance eligibility for all participants on a predetermined basis. + Responsible for all billing functions including collection of patient fees in accordance with the organization's fee schedule, reconcile payments, receipts, and deposits in the EHR. Keeps track of missed payments. + Interfaces with the Billing Department to ensure that all financial records and transactions are accurate and up to date via Daily Activities Forms (DAF’s). + Administrative support to the Program Director and Clinical Supervisor(s) as needed and requested. + Provide support to the greater Clinical Admin team as needed basis. Qualifications: + Bi-Lingual English/Spanish helpful. + 1+ year experience in substance use preferred or related field experience. Internships okay. + Working knowledge of EHR systems, myEvolv a plus. + Highly organized with the ability to prioritize effectively. + Proficient in Microsoft Office 365, with emphasis on Excel, Word, and Outlook.
