Job Summary
The Administrative Director, Faculty Affairs reports directly to the Chief Academic Officer (CAO) and serves as the lead administrative and operational authority for Faculty Affairs within the Institute for Academic Medicine (IAM). This position is responsible for developing, leading, and maintaining programs and processes for IAM faculty from any department under the direction of the CAO, but with the support and collaboration of Department Chairs and Department Academic Administrative Directors. Positions reporting to the Administrative Director may include other administrative support staff.
Responsibilities
Primary functions of the position include:
Partnering with the Chief Academic Officer to support the needs of all IAM faculty from any academic department, including:
• Providing leadership, direction, and oversight of the IAM’s Appointment and Promotion program
• Centrally managing processes for faculty travel and reimbursement related to academics (excludes Continuing Medical Education)
• Managing faculty development including supporting and maintaining processes for faculty performance evaluation, talent review, and succession planning
• Partnering with Physician Recruiting to support faculty recruitment, in collaboration with the Department Chairs and the Academic Administrative Directors
• Developing a standardized faculty onboarding program in collaboration with the Department Chairs and the Academic Administrative Directors
• Developing, supporting, and managing faculty engagement activities, under the direction of the CAO
• Developing and managing initiatives to improve the work environment for faculty, as identified through analysis of ACGME faculty survey results
• Collaborating with the IAM Corporate Director in developing, managing, and enhancing the academic incentive bonus plan
Specific Duties:
Administrative Leadership:
o Leads the Appointment and Promotions Committee in collaboration with the Chief Academic Officer
o Manages the Appointment and Promotions process, including application intake, application review, communication with faculty, managing reappointment, supporting appeals and enhancing processes where necessary
o Provides training and onboarding for Appointment and Promotions Committee
o Manages and administers faculty academic travel budget and processes
o Maintains a faculty database that allows the IAM to generate reports, analyze strengths and weaknesses of programs and their faculty members, inform recruitment and faculty development initiatives
o Oversees the performance review process in collaboration with the CAO and Department Chairs
Faculty Development:
o Collaborates with the CAO and DIO in the identification of faculty development needs and the implementation of programs designed to improve faculty efficacy
o Develops a standardized faculty onboarding program in specific to the IAM
o Develops faculty engagement initiatives after thorough review and analysis of faculty survey and other pertinent data
o Initiates and implements programs to support faculty well-being (such as mentoring or other similar programs)
o Develop, enhance, and implement faculty rewards and recognition program(s)
o Establishes selection processes, administers, and supports internal and external professional development programs for faculty (such as AAMC Leadership Development Programs, Minority Development Programs, etc.), in collaboration with the CAO
Problem Solving:
o Leads the appeals process for faculty members who are dissatisfied with decisions related to their academic rank
o Manages disputes related to academic travel
o Collaborates to resolve issues related to IAM faculty and GME requirements
Teamwork:
o Collaborates with Academic Administrative Directors to support their work
o Collaborates with CAMC departments related to responsibilities, including HR, Finance, IT, Legal, Compliance, others.
o Collaborates with other IAM leaders to support activities
Other Duties:
o Represents the IAM on committees as assigned
o Supports faculty recruitment teams and search committees for faculty leadership positions
o Provides guidance and mentorship to others within and outside the department
o Serves as an IAM resource to partner academic institutions and others
o Actively participate in research and/or scholarly activity as appropriate
