Administrative Generalist/Medical Education Administrator, Anesthesiology

The Department of Anesthesiology at the University of Virginia School of Medicine is seeking candidates for an Administrative Generalist/Medical Education Administrator to join our Medical Education Team.

The Administrative Generalist/Medical Education Administrator is an integral member of our education support staff for both ACGME and UME accredited programs within the UVA Department of Anesthesiology. As one of the first points of contact for physicians exploring opportunities to continue their training with us, the successful candidate will demonstrate a strong commitment to providing excellent information and support to the public. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will be expected to:

Collaborate closely with the Anesthesiology Education Program Manager, Fellowship Directors, Residency Director, Vice Chair of Education, departmental faculty and staff, as well as other stakeholders, to ensure compliance with ACGME and UVA Graduate Medical Education requirements.

Manage virtual meeting platforms such as Zoom and WebEx. This includes setting up meetings, configuring breakout rooms, facilitating sessions, and providing troubleshooting support for attendees as needed.

Develop and facilitate orientations, workshops, and other medical education activities for both graduate and undergraduate programs. Responsibilities include scheduling event spaces, organizing materials, setting up virtual meetings, and assisting during the events.

Assist program directors with pre-screening, interviewing, ranking, and selecting program participants. Serve as a mentor to participants, tracking and communicating their progress.

Address and resolve participant-related issues, including those related to academics, policies and procedures, degree completion, stipends, and housing.

Prepare and distribute instructional materials and course-related information.

Ensure program operations comply with the standards set by the Accreditation Council for Continuing Medical Education (ACCME), Accreditation Council for Graduate Medical Education (ACGME), Liaison Committee on Medical Education (LCME), and the Continuing Medical Education (CME) program.

Submit updates to professional organization databases as required.

Under the guidance of the Program Director, reconcile program expenditures and ensure proper financial oversight.

Minimum Qualifications:

Medical Education Programs Administrator
Education: Bachelor's degree or equivalent
Experience: Two years of experience, preferably providing administrative support to a medical education program.

Administrative Generalist

Education: Bachelor's degree
Experience: At least three years of experience. Relevant experience may be considered in lieu of a degree.

This position will remain open until filled.  The University will perform background checks on all new hires prior to employment.  A completed pre-employment health screen is required for this position prior to employment.

Physical Demands:

This position is located in Charlottesville, VA.

This position may be eligible for partially remote/hybrid work location schedule.

This role provides support during meetings and conferences which, on occasion, may begin as early as 7:00 AM and end at 7:00 PM and occasional weekends. Work hours will flex in accordance with meeting requirements.

This job primarily requires significant computer based work, traversing the footprint of UVA Health when required, and the ability to lift and move a minimum of 10 pounds.
