This position serves as the administrative and HR backbone of our multi-venue organization, ensuring smooth operational workflows while supporting critical human resource functions across our expanding business. The Administrative & HR Specialist will manage essential administrative processes and facilitate comprehensive HR activities, allowing leadership to focus on venue operations and growth while maintaining compliance and operational efficiency.

The Impact you’ll makeInvoice Management\nGenerate, send, and track client invoices\nFollow up on outstanding payments\nCoordinate with finance department for payment processing\nHandle billing discrepancies and issues\nVendor Onboarding & Management\nAssist in onboarding new vendors, gathering required documentation and contracts\nMaintain and update vendor records in the company database\nCommunicate with vendors to address queries or issues\nEnsure compliance with company policies and legal requirements\nAdministrative Support\nManage emails, respond to inquiries, and route messages to appropriate team members\nAssist with calendar management for managers\nMaintain digital filing systems and organize important documentation\nPerform general administrative duties including ordering supplies and handling correspondence\nCoordinate deliveries and communications with managers and vendors\nHR Reporting & Compliance\nPrepare and maintain HR reports on attendance, turnover, and other metrics\nEnsure practices comply with labor laws\nMonitor training completions and certifications\nAssist with compliance documentation submissions\nOnboarding & Offboarding Support\nFacilitate new hire onboarding processes and documentation\nPrepare welcome materials and coordinate orientation schedules\nManage offboarding tasks including exit interviews\nMaintain proper documentation for compliance and record-keeping\nPerformance Review Assistance\nCoordinate performance review cycles by scheduling evaluations and sending reminders\nTrack employee goals, progress, and feedback documentation\nGather feedback from managers\nMaintain confidential performance records for HR review\nBenefits Administration\nAssist employees with health insurance enrollment\nProvide information about available benefits options\nProcess workers' compensation claims\nLiaise between employees, insurance providers, and management\n
