Administrative Assistant
Bennett Aerospace, LLC, a subsidiary of Three Saints Bay, LLC and a Federal Government Contractor industry leader, is seeking an experienced Administrative Management Analyst to join our Team in Arlington, VA!
The successful candidate will use his or her knowledge of applying analytic methodologies and principles to address program needs while maintaining program confidentiality. The Administrative Management Analyst will perform a wide range of administrative, office and professional support activities, customer support services, data entry, research and analysis, and support to customer managers to facilitate the efficient operation of the organization. The Administrative Management Analyst will perform other duties as assigned. Regular, predictable attendance is essential for satisfactory performance as is the ability to work both with minimal direction and within a team environment.
Position Responsibilities:
Track correspondence, documents, and projects. Answer, screen, and transfer inbound phone calls. Open, sort and distribute incoming correspondence; coordinate outgoing mail and packages to be picked up. Maintain office supply inventories, order supplies, assist with equipment requests and assignments. Maintain hard copy and electronic filing system for all administrative matters, scan documents into digital case files. Maintain electronic and/or physical copies of monthly motor vehicle files, maintain time and attendance reports, leave records, time and attendance records, trip records and logs. Verify files and tracking systems; perform data entry and reconcile inconsistencies in databases. Prepare and modify documents including correspondence, reports, drafts, memos, cables, and emails; correct discrepancies found in reports. Learn and utilize government database systems and resources to generate spreadsheets, papers and reports. Develop spreadsheets, track databases, reports, and presentations, ensuring information is accurate. Learn and maintain current knowledge of standard operating procedures, existing and emerging policies, standards, or guidance documents. Performs general administrative support activities, facilities/space management, customer support services, resource distribution, acquisition support, and human resources support. Perform, as directed assigned financial responsibilities, fiscal or purchase functions and maintain spreadsheet of procurements and property. Track, research, and respond to management requests for vendor engagement. Analyze financial and other data, develop solutions or alternative practices, recommend new systems, procedures or organizational changes, make recommendations to management through presentations or written reports and confer with managers to ensure that the changes are working. Perform routine audits of databases and files; maintain database records by ensuring information is current and accurate; prepare and maintain electronic and physical files. Supports sections and projects by researching and consolidating information from various data sources/systems for statistical purposes. Identifies potential problems and solutions through data analysis, reduction, and entry. Provides technical guidance to other staff members. Participate in the planning, implementation and logistics of meetings and conferences. Participate, when assigned, in project performance team meetings to provide ideas, methods or processes for section performance improvement. Researches and composes written materials utilizing multiple information sources to develop documents, database information systems and debriefings. Assist personnel with timely and accurate submission of required reports. Performs other related and/or administrative duties as assigned or requested by client.
Position Requirements:
Associate's Degree Must have 3- 4 years of relevant experience working in a professional setting. Experience with SharePoint management and computer software programs Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Possess knowledge of applying analytic methodologies and principles to address program needs. Solid database and data analyst skills required. Strong written and oral communication skills, organizational skills, and attention to details. Position requires strong analytical, interpersonal, oral and written communication skills, and the ability to solve complex problems and work in a team environment.
