We are seeking an Administrative Manager who will focus their efforts in operational efficiencies in a business development group. The successful candidate will have over 10 years of experience in a corporate setting managing the administration systems, processes and tools that are the backbone of a high performing business development team in the AEC industry.
You will be part of the overall business intelligence team, leading specific areas in administration and operational efficiencies. You will support and partnering with various leaders in the growth office as well as partner with shared services functions (HR, IT, legal, Accounting/Finance, etc.) as part of the business development lifecycle. You will need to balance short-term deadlines against long-term goals in a fast-paced environment. This position reports to the Corporate Business Development Director. Because you will work with people of all types and experience levels, tact, enthusiasm, organization, communication, and an ability to educate and achieve objectives are hallmarks of this position.
This position will be based in our Denver office!

Business Development Lifecyle
Assisting with the development and implementation of BD&M standards, procedures, and guidelines to support operational processesKnowledge of the Business Development Lifecycle Program; support collaboration and interconnectivity between group functions and tools to drive the lifecycleResponding to requests to support marketing and business development initiatives, includingresearch of internal and external systems; report generation from internal financial and other systems; organization of material/files; and input to CRM systemHuman Resources / Vendor Management
Performing human resource duties, such as new hire and termination paperwork, new hire orientation, timesheet and expense account assistance and monitoring, training records maintenance, and training requirements monitoring. Cross functional partnership with IT, HR, etc. and various systems to ensure the employee successfully starts/concludes employment with all necessary equipment provided/collected and access granted/terminated. Managing and onboarding consultant/contractors, tracking legal agreements, invoice review and processing, etc. Oversee sales search engines (GovWin, etc.); contract licensing terms and license alignment.Administrative Operations
Receives incoming communication on behalf of group leadership, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staffCoordinating directly with Shared Services staff and office staff to resolve technology, human resources, quality, financial, and operational matters impacting the BDM groupProviding assistance with key BDM activities and functions including preparing reports, monitoring budgets, and using knowledge of corporate applications, requirements, and guidelines to gather and prepare data and information. Compiling performance reports and information in preparation for various meetings: Directors’ meetings, operational leadership meetings, CGO meetings, BOD meetings, etc. Develop presentations using PowerPoint and Teams for file sharing/collaboration. Work with leadership to establish/streamline procedures that will enable measurement and achievement of goals, sales targets, and policies that will benefit the organization and increase growth.Vision to identify, analyze, communicate and implement process improvements.Schedules staff meetings as requested by the Manager or Team Leaders.System administrator for BD Group resource management toolChampioning and supporting integration of emerging technologies within the groupPerforms other related duties as assignedFinancials: Budgeting, Invoicing, Expenses
Assist in developing CGO annual budgets and entry in budgeting system. Oversee and analyze budget-to-burn; provide regular reports to budget managers. Facilitate moving incorrect budget charges. Make recommendations for improvement for budget adherence and/or more effective use of budget. Oversee and reconcile travel expenses reports for leaders in CGO office (as needed)Assist with job # structure framework to support reporting for KPIs. Cross functional partnership with CFO office.Information Management / Data Analysis
Assists with maintaining information management/knowledge sharing digital filing systems for the CGO office and BD team using Microsoft Teams. Public and private channel management. Assist in sales analysis using standard reports; ability to create custom reports in excel to evaluate identified trends. Handles special data projects, as needed, related to various sales trendsGather, analyze and interpret external and internal data and develop briefings and presentations BA/BS preferred; Associate degree required Minimum of 10 years of related experience required in administration and business development in a related industry; AEC preferred. Advanced proficiency in MS Outlook & Office (Word, Excel, PowerPoint, Teams)CRM experience (MS Dynamics, Deltek Vision/Vantagepoint preferred)ERP experience (BST or Deltek preferred) Ability or willingness to learn PowerBI dashboarding (preferred)Time management/project management skills with a proven ability to meet deadlinesResourceful problem-solving and self-starterMust maintain a proactive, positive, professional, and creative approach to business and people, with the ability to listen effectively and communicate clearly and completely in written and oral presentations.Periodic travel required.
