The Role

We are seeking an engaging and proactive Administration Manager to lead our Housing Maintenance administration team in Dunedin. This is a critical leadership role, reporting to the Delivery Manager, and plays a key part in shaping and improving our business support functions across the division.

You’ll be responsible for leading a capable team of Administrators, overseeing contract administration and supporting day-to-day operations. Your strong people management skills will be essential, as you guide recruitment, workforce planning, and team development in a fast-paced, customer-focused environment.

This role requires a hands-on leader with a strategic mindset — someone who can operate at a high level while also diving into the detail to support the team.

Key Responsibilities

Lead and manage a team of Administrators, providing coaching, support, and guidance to ensure consistent, high-quality performance. Oversee contract administration functions, ensuring compliance with legal, safety, and reporting obligations across the Housing Maintenance division. Coordinate recruitment, onboarding, training, and workforce planning to build and maintain a strong and capable administration team. Identify operational risks and process improvement opportunities to enhance efficiency, accuracy, and service delivery. Represent BGIS in community outreach programmes, attend local events, and engage in public speaking opportunities to support partnerships and visibility. Support the achievement of contract KPIs through effective workload management, reporting, and stakeholder communication. Operate across multiple systems (including WMS), ensuring data integrity and consistent delivery of business support functions.

About You

Proven experience in a leadership or management role within administration, operations, or facilities services. Strong organisational and problem-solving skills, with the ability to navigate competing priorities in a fast-paced environment. Confident people leader with experience in recruitment, workforce management, and staff development. Proficient in Microsoft Office and adaptable to new technologies, with experience using job management or scheduling systems (e.g. WMS). Excellent interpersonal and communication skills, capable of building rapport across internal teams, clients, and subcontractors. Strategic thinker who can also operate at a detailed level, focused on continuous improvement and achieving performance outcomes.
