Administrative Manager

The YMCA is now hiring a full-time Administrative Manager to support YMCA Camp Duncan, YMCA Camp Independence, and YMCA Camp Pinewood!

The Administrative Manager oversees camper enrollment, registration, paperwork, medical files, and financial coordination for the assigned camp(s), ensuring accuracy, efficiency, and compliance with policies. This role will work closely with families, camp leadership, and medical staff to ensure a smooth and organized check-in process for the assigned camp(s).  The Administrative Manager may provide administrative support for other camps, assisting with registration, payment verification, organization, and other operational needs as determined. Beyond registration, this position will manage the camp store operations for the assigned camp location(s), including vendor relations, inventory management, and online sales to enhance the camper experience. Strong organizational skills, attention to detail, and the ability to multitask are essential to delivering an efficient and positive experience for campers, families, and staff across all locations.

Salary range starts at $45,000 per year with full-time benefits and opportunities to grow within the organization

Scope of Responsibilities

Camper Enrollment & Registration Management

Oversee and manage the full registration process for assigned camp location(s), ensuring accuracy, efficiency, and compliance with policies. Support camp program participants by handling registration, paperwork, and medical file management, coordinating with families, camp leadership, and medical staff to verify documentation and address outstanding requirements before arrival. Support various administrative needs for other camps as determined including registration, payment verification, organization, and other tasks assigned to ensure smooth camp operations. Maintain and update registration systems by tracking participant data, payments, and required paperwork to ensure a seamless check-in process, while collaborating with program directors and the business office to verify and process payments for assigned camp program(s), ensuring accurate financial records and compliance with payment policies. Work closely with camp leadership to manage enrollment capacity, waitlists, and program assignments, ensuring all registration policies, waivers, and forms are completed for compliance and safety for assigned camp location(s). Manage and track all required paperwork for summer international workers, ensuring timely submission and compliance with visa, employment, and organizational requirements. Maintain accurate records and coordinate with relevant departments to facilitate a smooth onboarding process. Coordinate with the business office to reconcile accounts and track expenses.

Camp Store Operations

Manage vendor relationships, including product selection, pricing negotiations, contract agreements, and inventory availability for assigned camp location(s). Monitor inventory levels using digital tracking systems, anticipating restocking needs, and placing orders to ensure timely delivery of high-demand items. Develop and manage an online store for assigned camp location(s), updating inventory, pricing, and promotions while coordinating pre-order opportunities for families to purchase gear and supplies before arrival. Optimize merchandise selection based on seasonal trends, camper preferences, and past sales data to ensure a diverse and appealing product mix.

Camp Scholarship Program

Ensure that the scholarship procedure is followed, all proper documentation is submitted, and funding is followed and applied to customers’ accounts for assigned camp location(s). Organize and facilitate scholarship committee meetings, providing necessary documentation and reports to assist in determining fund allocations based on scholarship requests and available funding.

Minimum and Preferred Requirements: 

Must be at least 18 years of age or older. Strong organizational and administrative skills with attention to detail. Experience or ability to learn registration systems, financial transactions, and customer service. Ability to manage multiple priorities in a fast-paced camp environment. Strong interpersonal skills to engage with families, staff, and vendors effectively. Experience or ability to learn inventory management Demonstrates sound judgment and discretion in handling confidential information. Ability to work with integrity, discretion and a professional approach. Knowledge of and demonstrated proficiency in the use of business software (Windows, Microsoft Word, Excel, PowerPoint, Adobe and Google) while also quickly learning systems and processes specific to the assigned camp’s needs.
