Administrative Professional

The Bonadio Group is currently seeking an Administrative Professional to support our Assurance Service Line. This position is available in our Rochester, Buffalo, Syracuse and Albany, New York locations. This position will be on-site.

Responsibilities

Provide dedicated Partner and Principal support as assigned including time and expense entry, billing, e-mail triage, travel assistance, etc.

Generate reports for assigned Partners and Principals including, but not limited to, margin, sales team, new work, period comparison, aging, reconciliation, productivity, performance indicator, culling, client transfer, WIP, WIP transfer, WIP reconciliation, compliance reports, etc.

E-file tax returns, track and communicate due dates to assigned Partners

Execute the formatting and preparation of all client deliverables including financial statements, engagement letters, confirmations, quality control submission, binder approvals etc.

Ability to professionally and effectively handle communications with internal personnel as well as external clients – both via phone or in person; taking detailed messages as needed

Organize, update, and assist with calendar for assigned Partners and Principals

Develop and maintain the technology skills required to function at peak efficiency

Maintain expertise in firm billing procedures and software, adhering to strict billing deadlines

Perform client transfers and PIC reassignments as needed

As directed by the Service Line Leader, assist in the planning and execution of statewide retreats, seminars, meetings, and internal or external conferences; Participate as needed, taking notes and following up on tasks

Ability to cross-train and learn other administrative responsibilities to provide backup assistance as needed

Sort incoming mail as necessary

Adhere to the highest degree of professional standards and strict client/firm confidentiality

Qualifications

Required:

A minimum of three years of relevant experience

A minimum of an associates degree or a high school diploma, GED with equivalent work experience

Knowledge of typical office methods and procedures, filing, telephone techniques, scanning, and office equipment, as well as business English usage, spelling, grammar, and punctuation

Proficiency in Microsoft Word, Excel, and Outlook, and PowerPoint

The salary range for this position is between $21.00 to $24.00 per hour and is commensurate with experience.

Hours of Operation:

Our office hours are from 8:00 a.m. until 5:00 p.m. Monday through Friday

Our summer hours are from 8:00 a.m. until 5:00 p.m. Monday through Thursday, and from 8:00 a.m. until 12:00 p.m. on Friday

We pride ourselves on our flexibility; however, the ability to work additional hours will be needed at peak times
