Administrative Program Coordinator II - Medical Residency, Lakewood Family Medicine

As an Administrative Program Coordinator, you will interact directly with medical students, residents, faculty physicians and the Residency Program Coordinator. You will assist in scheduling, recruiting and overseeing students, ensuring all evals are completed. You will also organize open houses and skills labs, create meeting agendas and create monthly reports. This position offers a unique opportunity to engage yourself with the next generation of learners while working alongside some of the best caregivers in the industry.

A caregiver in this position works from 8:30AM - 5:00PM and 8:00AM - 4:30PM.  

A caregiver who excels in this role will:  

Lead orientation and records management activities and ensures standards are maintained.Develop and update interdepartmental education programs.Assist with scheduling, coordination, preparation and communication of meetings.Facilitate and attend meetings and records key outcomes.Identify key milestones and deadlines.Communicate project status and requirements to achieve results.Research, analyze and organize information for presentations.Assist department leadership with large or complex projects.Receive applications and review with review team, schedule students for rotation, onboard students (credentials, access, parking, create detailed schedules, collect evaluations and complete affiliation agreements, if needed.Coordinate the candidates to be interviewed for the TCC Program, organize interview day and work with OU in creating TCC student schedules for each TCC class (4 per class for M1, M2 and M3).Schedule meetings, create agendas and take minutes for multiple meetings (Controlled Substance, Team STEPPS, SPARQ Executive Team, Population Health Executive Team).Track resident and nursing home visit numbers.Use EPIC for tracking visits, reassigning patients, updating/blocking physician schedules and assigning nursing home patients.Complete organizational charts, referral packets, resident manual updates, morning report/in-service assignments, statement of expert evaluation, Health Promotion Rotation Questionnaires and conference room reservations for meetings and TCC teaching as needed.

Minimum qualifications for the ideal future caregiver include:  

Associate’s Degree and three years of administrative or project management experience OR Bachelor’s Degree and one year of experience OR High School Diploma/GED and five years of experienceStrong computer skills and experience with software applications

Preferred qualifications for the ideal future caregiver include:  

Bachelor’s Degree in Business Administration, Healthcare Administration or related fieldHealthcare or related organization experienceExperience developing healthcare, financial or education programs
