Grade: 2ND
Hiring Range: $26.76/hr to $33.43/hr. Pay rate commensurate with relevant experience.
The Department of Engineering seeks an Administrative & Program Specialist to support the daily operations of the Department and the Human-Centered Engineering undergraduate program. Key responsibilities include:
+ Develop and implement administrative processes, create effective communications practices, and provide confidential, professional support to all constituents of the Department.
+ Triage all incoming inquiries to the department, via phone, email, social media, and in-person communication.
+ Assists the Chair in planning and carrying out all aspects of the Departmental Mission, including organizing faculty searches, coordinating tenure and promotion, and managing seminar series, colloquia, and students programs.
+ Responsible for communicating important and time sensitive information via regular updates to the department website and social media.
+ Assists the Chair with monitoring and allocating the department’s financial resources.
+ Hire, train, delegate, and supervise office work study students.
+ Serve as primary liaison to Department faculty, students, other departments, and College and University administrators.
+ Manage multiple tasks and projects simultaneously by prioritizing, setting clear expectations, and managing time to meet deadlines.
Key functional and technical competencies include:
+ Able to work independently, be well organized and be able to establish priorities for themselves and the departmental office.
+ Adept at dealing regularly with a diverse group of people from students to faculty to administrators and staff in other BC departments.
+ Able to accomplish work while experiencing constant interruptions and be able to multi-task.
+ Able to write simple correspondence and be an excellent proofreader of both text and fiscal documents.Problem solving attitude.
+ Adequate word processing skills are mandatory, using both Mac and Windows computers.
+ Basic knowledge of website and social media management.
+ Most important of all is the ability to develop and maintain strong personal relationships throughout the Department and University.
**Requirements**
+ One year of previous administrative support experience is required.
+ Experience in higher education is desired.
+ Attendance and coordination of occasional evening or weekend functions may be required.
